The Opportunity

We are seeking a skilled Marketing & Administrative Assistant to join our remote-first team. This role combines marketing coordination with administrative excellence to support our growing organization. Depending on the candidate's strengths and our needs, this may be structured as one hybrid role or divided into two specialized positions.

**Schedule:** Our team operates across EST and PST time zones (9 AM - 5 PM). This role requires availability during core overlap hours of **9 AM - 1 PM EST**.

Key Responsibilities

Administrative Excellence
- Vendor & Supplier Management: Research, source, and manage relationships with vendors and suppliers
- Travel & Schedule Coordination: Book travel arrangements and manage team calendars efficiently
- Presentation Development: Create professional, polished presentation decks using generative AI tools
- Systems Integration: Develop streamlined workflows and integrations across our platforms (Slack, ClickUp, Google Drive, HubSpot)
- File Management: Organize and maintain comprehensive online file sharing systems
- Meeting Documentation: Create micro boards and document meetings within Miro
- Business Research: Conduct targeted online research to support business development initiatives
- Process Development: Support the creation and enhancement of process documents and operational standards

Marketing & Social Media Coordination
- LinkedIn Management: Manage and grow our LinkedIn presence with a focus on increasing engagement and reach
- Content Creation: Develop compelling LinkedIn post content that aligns with our brand and expertise
- Analytics & Optimization: Analyze newsletter and LinkedIn metrics to continuously improve performance and outcomes
- CRM Management: Set up and optimize HubSpot to support and enhance business development efforts
- RFP Management: Build and maintain a comprehensive system to track and manage RFP opportunities
- Website Coordination: Manage website updates and coordinate with communications contractors for website changes
- Market Research:*Conduct strategic online research to identify business development opportunities

What We're Looking For

Essential Qualifications:
- Technology Expertise: Highly proficient with common business technologies and able to quickly learn new platforms
- Systems Thinking: Strong analytical mindset with proven ability to create and enhance processes that optimize business outcomes
- Professional Maturity: Excellent professional presence and strong interpersonal skills
- Accountability: Demonstrated high level of self-direction and personal accountability
- Experience: Minimum 3 years of relevant experience in administrative support, marketing coordination, or related roles
- Collaboration: Strong team player with the ability to give and receive constructive feedback
- Growth Mindset: A desire to learn and grow individually and with our team

Preferred Skills:
- Experience with generative AI tools
- Familiarity with CRM systems (HubSpot preferred)
- Social media marketing experience, particularly LinkedIn
- Experience in professional services or consulting environments
