Job Overview:
We are seeking a highly experienced, self-motivated Virtual Assistant (VA) to support our CEO and business operations. The ideal candidate will be tech-savvy, detail-oriented, creative, and highly organized. Daily Responsibilities:
?? Flexible - "In Your Own Time" Tasks (Checklist Provided):
Complete assigned tasks from a pre-defined checklist (to be provided daily/weekly).
Maintain accurate logs of completed activities and report progress to the CEO.
15 Minutes – Website Management:
Perform basic back-end website maintenance and updates.
Monitor website analytics and traffic reports.
Moderate and respond to comments where necessary.
Upload and format blog posts for SEO and readability.
1 Hour – Social Media Content Creation & Publishing:
Create engaging and branded video content and posts for platforms like
Schedule and publish posts according to the content calendar.
Monitor engagement and optimize content strategies as needed.
30 Minutes –
Draft and send marketing
Respond to client
Schedule Zoom meetings between clients and the CEO based on availability.
Follow up on leads or ongoing conversations.
30 Minutes – CEO Calendar & Personal Assistant Support:
Organize the CEO's daily and weekly calendar.
Set reminders for meetings, events, or deadlines.
Book travel, accommodations, or reservations as needed.
10 Minutes – Daily Check-in Call with CEO:
Make a daily weekday call to the CEO at 10:00 AM (Australian Eastern Time).
Brief on updates, ongoing priorities, and any urgent matters.
35 Minutes – Research, Data, and Administrative Support:
Conduct research on various business-related topics as directed.
Manage and update databases and spreadsheets.
Make outbound calls to clients or prospects.
Assist with miscellaneous tasks and evolving priorities discussed with the CEO.
Required Skills and Qualifications:
Proven experience as a Virtual Assistant or Executive Assistant in a similar role.
Excellent written and spoken English.
Proficiency with tools such as:
WordPress or similar CMS platforms
Google Analytics
Canva, Adobe Express, or video editing tools
Email
Social Media platforms and schedulers (e.g., Meta Business Suite, Buffer)
Google Workspace (Calendar, Drive, Docs, Sheets)
Zoom and communication tools (e.g., Slack, WhatsApp)
Strong organizational and multitasking abilities.
Creative eye for content creation and marketing.
High level of discretion and professionalism.
Ability to work independently and manage time effectively.
Work Hours:
Approx. 3 hours per day (Monday to Friday), with availability for a daily 10 AM AEST call with the CEO.
Remaining tasks can be completed flexibly during the day.
Compensation:
To be discussed based on experience and qualifications.
