We are looking for a proactive and detail-oriented virtual assistant to help manage day-to-day admin, scheduling, and documentation tasks for our disability care business, Quest Collective using the software ShiftCare. We’re looking for someone who is:
• Detail-oriented
• Process-driven
• Can follow SOPs
• Strong written and verbal English
• Self-managing
???? Job Title: Executive Virtual Assistant (Shift Care & Admin)
???? Hours: 15-20 hours/week
???? Pay: Up to $10-15 AUD/hr
???? Remote | Preferably PH-based (English fluency required)
???? Responsibilities:
• Manage shift bookings inside ShiftCare (or similar platform)
• Upload documents and maintain client files
• Handle HR admin and onboarding documentation
• Coordinate calendars and scheduling
• ?
• Weekly reporting and updates to founder
• Making sure shifts are accurate weekly to push to Xero to invoice clients
? Requirements:
• Exceptional written and spoken English
• Previous experience with scheduling or admin systems (e.g. ShiftCare, GDrive, ChatGPT, Go High Level, etc.)
• Detail-obsessed — nothing slips through the cracks
• Self-starter: You figure things out and move things forward
• 15-20 hours/week to start, with potential to increase
• Must be available for quick daily check-ins (async or live)
