JOB OVERVIEW

We’re a fast-growing digital marketing company specializing in indoor digital billboard advertising. As we scale, we’re looking for a highly organized and proactive Virtual Assistant to support one of our clients with day-to-day operations.

You’ll act as their right-hand support—managing client communication, coordinating with internal teams, handling proposals and invoices, and helping with vendor and deal tracking. Your role is key to keeping the business running smoothly, so they can focus on growth. Training is provided for qualified candidates!

What You’ll Do:
- General Admin Support: Provide support in their daily tasks, from scheduling meetings to helping with emails and organizing projects.

- Client Onboarding & Communication: Support the onboarding process for new clients by gathering necessary info and ensuring everything is in place for a smooth start, and this includes making and receiving calls. You’ll also handle client inquiries and provide ongoing updates.

- Coordination Across Teams: You’ll be the liaison between the Tech, Creative, and Marketing teams, making sure everyone stays aligned on deliverables, timelines, and client expectations.

- Sales Proposals & Invoicing: Manage the client’s email and calendar, prepare sales proposals, and ensure that invoices are created and sent on time. You’ll also assist with payment follow-ups.

- Track & Update Deals: Keep track of the status of ongoing deals, proposals, and client communications to ensure everything stays on schedule.

- Client Services: As a key assistant, you’ll be handling client services duties, answering queries, maintaining relationships, and ensuring that clients’ needs are met.

- Client Issues: If a client encounters any issues with their digital billboards, our client will reach out to you for assistance in addressing and resolving these problems in collaboration with the relevant teams (Tech, Marketing, etc.).

What We’re Looking For
- Excellent organizational and time-management skills
- Strong English written and verbal communication is an absolute must
- Tech-savvy: Knowledgeable with Google Workspace, Canva, and CRM tools
- Confident with making and receiving calls
- A self-starter with an eagerness to learn and grow
- Comfortable working during night shift (US hours)
- 2+ years of experience as a VA or a job similar
