Position Overview
The Executive Assistant will provide high-level administrative support to senior executives, ensuring the efficient operation of the executive office. This role requires a proactive, detail-oriented professional with exceptional organizational and communication skills, capable of managing competing priorities in a dynamic, fast-paced setting.
Key Responsibilities
Executive Support: Manage and prioritize executive calendars, schedule meetings and appointments, and ensure optimal use of time.
Communication Management: Act as the primary liaison for the executive office, managing
Meeting Coordination: Organize and support internal and external meetings, prepare agendas, take detailed notes, and track action items to completion.
Document Preparation: Draft, edit, and format reports, presentations, and internal communications with accuracy and attention to tone and branding.
Project Management: Assist with key projects by tracking deadlines, deliverables, and progress; coordinate with internal teams to drive execution.
Event & Logistics Planning: Plan and coordinate executive events, off-sites, and team functions, handling logistics, vendors, and materials.
Confidentiality: Manage sensitive information with the highest level of discretion and professionalism.
Problem Solving: Anticipate needs, identify issues before they arise, and present thoughtful, efficient solutions.
Qualifications & Skills
5+ years of experience as an Executive Assistant or in a senior-level administrative support role.
Exceptional organizational skills with the ability to multitask and meet tight deadlines.
Strong written and verbal communication abilities with a high degree of professionalism.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); adept at managing calendars, scheduling tools, and digital collaboration platforms.
Excellent interpersonal skills and the ability to engage with stakeholders at all levels.
Self-motivated, dependable, and capable of working independently as well as part of a team.
