JOB OVERVIEW

Secure Financial Services, Inc. is a two person financial services firm specializing in retirement income planning, annuities . The owner is a highly active professional engaged in business development, client relations, media appearances, and team leadership — and needs assistance to help him stay organized and effective. We are looking for a highly organized and resourceful Virtual Administrative Assistant to help with this.

The position requires someone who is a strong communicator, detail-oriented, and comfortable handling a wide range of administrative and executive support tasks in a fast-paced environment.

Ideally we would like someone who is familiar with GoHighLevel as this is the main tool we use for our communication hub.


Key Responsibilities
1. Manage Communications:

Screen and respond to emails and messages on behalf of the owner
Draft and format correspondence, internal memos, and follow-up messages

2. Scheduling & Calendar Management:

Coordinate and manage the owner’s calendar, including client appointments, internal meetings, and media engagements
Send reminders, confirm meetings, and ensure schedule optimization

3. Document Preparation:

Organize files, update records, and maintain confidentiality

4. Record Keeping:

Maintain organized digital records of communications, meetings, and project details
Track and manage follow-up tasks and deadlines

5. Event Planning Support:

Assist with the coordination of seminars, webinars, team meetings, and other events

6. General Administrative Support:

Act as a liaison between the owner and internal departments or external partners
Assist with special projects and other tasks as needed

--Qualifications
Some experience in an executive assistant or high-level administrative support role (virtual experience preferred)

Good written and verbal communication skills

Strong organizational skills and attention to detail

Used to working with Google Drive, and google's suite of tools.

Experience with CRM platforms (Go High Level or similar) a plus

Ability to handle confidential information with discretion

Self-starter who can prioritize and manage multiple tasks independently

Comfortable working in a remote setting with a high level of responsiveness

Work Environment & Compensation
