JOB OVERVIEW

???? Job Description:

We’re looking for a skilled, detail-oriented Virtual Assistant with experience in automation tools and CRM platforms to help manage and maintain the backend of our real estate investment system: The Alex Guest System (AGS).

If you’re experienced in systems like Airtable, Zapier, Podio, and other no-code tools — and you enjoy keeping tech clean, connected, and running smoothly — this is for you.

???? You Will Be Responsible For:
• Managing and maintaining Airtable databases (linking tables, formula fields, views)
• Setting up and troubleshooting multi-step Zapier automations (email triggers, CRM syncs, scheduler logic)
• Supporting Podio CRM workflows (adding apps, creating views, fields, workflows)
• Monitoring weekly automations (task emails, newsletters, AI-generated content)
• Supporting GPT workflows connected to Airtable & Zapier (content and logic flows)
• Updating HeyGen video links, Jotform fields, and Softr/Airtable visibility settings as needed
• Assisting with onboarding automation for new clients
• Helping manage a small library of Airtable and Zapier templates (e.g., email flows, progress tracking, client dashboards)

????? Tools You’ll Be Working With:
• Airtable (advanced use: formulas, lookups, date fields, views)
• Zapier (multi-step, filters, loops, webhooks)
• Podio CRM (app creation, relationship management)
• Gmail (email automation)
• HeyGen (video personalization workflows)
• Jotform (client intake forms)
• Softr (basic visibility and layout management)
• OpenAI/GPT integrations (newsletter generator, client assistant logic)
• Google Sheets (used for backups and logic testing)

???? Ideal Candidate:
• Proficient in Airtable, Zapier, and Podio
• Understands how automations flow from client intake to follow-up
• Able to maintain AND troubleshoot existing automations
• Comfortable using ChatGPT or HeyGen-style tools to generate client-facing content
• Tech-savvy, organized, and good at thinking through logic
• Real estate system experience is a big plus (but not required)

???? Hours & Pay:
• 20–40 hours/week (flexible depending on skill)
• Long-term position with weekly workload
• Pay range: $6–$10/hr depending on experience
