Operations Assistant – Solar & eCommerce

We are a fast-growing Australian business operating in two exciting and impactful industries: solar installations and renewable energy product sales via dropshipping. We’re seeking a proactive, organized, and customer-focused Operations Assistant to support both arms of our business. This is a remote role ideal for someone who thrives on working independently and loves systems, communication, and helping things run smoothly.

About the Role
You will be the key admin support for day-to-day operations across both our solar installation services and renewable energy eCommerce business. You’ll liaise with customers and suppliers, coordinate installations, manage quoting and shipping logistics, and keep things moving behind the scenes.

Key Responsibilities
Solar Installation Operations
1. Create, document, and maintain Standard Operating Procedures (SOPs) for solar admin processes
2. Request installation pricing from electricians and prepare quotes for customers
3. Complete and submit required paperwork for STC claims (no experience required)
4. Prepare and send customer invoices
5. Coordinate the progress of each solar installation (communicate with installers, send BoMs)
6. Respond to general customer inquiries and route technical questions appropriately

eCommerce / Dropshipping
1. Prepare international freight quotes using services like DHL
2. Contact suppliers to confirm stock availability
3. Update stock levels and pricing on Shopify and eBay
4. Generate freight labels and documentation using AusPost and DHL systems
5. Submit support tickets for warranty claims on products.

About You
You are someone who:
1. Has experience in customer service or operational support, ideally in a remote environment
2. Communicates clearly, professionally, and efficiently in writing and over the phone
3. Is detail-oriented, proactive, and able to manage multiple responsibilities independently
4. Is comfortable using or learning tools like Shopify, eBay, AusPost, and freight calculators
5. Can follow and improve processes to keep operations smooth and streamlined
6. Brings a “solutions first” mindset and is comfortable escalating complex issues when needed
