JOB OVERVIEW

Key Responsibilities:

Calendar & Email Management:

Manage multiple calendars across three co-founders, coordinating internal and external meetings, appointments, and events.

Handle email management, including drafting responses, flagging priorities, organizing inboxes, and following up on action items.

Administrative Support:

Update and maintain accurate records in Zoho CRM — including data entry, contact management, and pulling regular reports.

Draft and proofread business documents, client correspondence, proposals, and internal communications.

Document creation and retention — ensure files and templates are up-to-date and properly organized.

Research:

Research vendors, industry trends, competitors, and software tools.

Compile and present research findings clearly and concisely for decision-making purposes.

Special Projects:

Support ad-hoc and ongoing projects — tasks may include vendor sourcing, pulling information from software systems, or coordinating with third-party providers.

No formal project management background required, but must be comfortable juggling multiple priorities.

Company Meeting Support:

Attend internal meetings and occasional client calls as needed.

Take detailed, actionable minutes and ensure timely follow-ups on key action items.

Must-Have Qualifications:

Exceptional organizational skills and the ability to manage competing priorities for three busy executives.

Proactive, assertive, and solution-oriented — comfortable managing up and pushing for clarity.

Strong writing and proofing skills — able to draft professional, client-facing correspondence.

Adaptable and eager to learn each co-founder's unique working style.

Committed to a long-term working relationship; strives to become a trusted extension of the leadership team.

Proficient in Microsoft Suite (Word, Excel, Outlook, Teams).

Experience with Zoho CRM or similar tools.

Detail-oriented, self-motivated, and capable of working independently with minimal supervision.

Working Hours:
