We are a real estate investment company at the forefront of revitalizing New York City's historic neighborhoods. We specialize in the acquisition, meticulous restoration, and dedicated management of 2- to 4-unit multifamily townhouses in underserved, high-growth neighborhoods across NYC. Our mission is to deliver turnkey, restored rental homes while navigating NYC's complex regulatory and tenant landscape. We are a hands-on team, deeply involved in every aspect from restoration to daily operations.
THE OPPORTUNITY AND WHO WE ARE SEEKING:
We are looking for a reliable and detail-oriented Virtual Property Management Assistant to support our daily operations. This is a foundational role perfect for someone with administrative or real estate support experience who is eager to learn and grow with our company.
You will work directly with the property owner and the Lead Property Manager, assisting with a wide range of tasks from tenant communication to document management. The ideal candidate is an excellent organizer, a clear communicator, and a proactive learner who can follow detailed processes. While prior property management experience is a plus, a strong work ethic and a commitment to accuracy are most important. Your mission is to help keep our portfolio organized, our tenants supported, and our operations running smoothly.
KEY RESPONSIBILITIES:
• Assist with tenant communication: help monitor
• Help with drafting and submitting funding applications for business loans, grants, etc.
• Support rent collection by sending reminders and tracking payment statuses.
• Help monitor city agency portals (HPD, DOB) for new violations or updates.
• Assist in preparing and organizing documentation for violation disputes, loan applications, and compliance filings.
• Help coordinate with contractors for repairs and maintenance by scheduling appointments and following up on work orders.
• Organize and maintain digital files, including leases, tenant records, and receipts in Google Drive.
• Support the lease renewal process by preparing draft documents and tracking deadlines.
• Create and maintain spreadsheets for tracking rent, maintenance, and compliance issues
IDEAL CANDIDATE WILL HAVE:
• 1-2+ years of experience in an administrative, customer support, or property management assistant role.
• Excellent organizational skills and a high level of attention to detail.
• Strong written and verbal communication skills in English.
• Proficiency with Google Workspace (Gmail, Sheets, Docs, Drive) and Microsoft Office.
• A proactive and positive attitude with a strong desire to learn.
• Ability to follow multi-step processes and manage tasks reliably.
• Artificial Intelligence platforms and how to utilize them in property management (Chat GPT, Gemini, Claude, etc.)
• Comfortable receiving direct feedback and using it to improve.
• Experience with any property management software (e.g., AppFolio, Buildium, Innago) is a plus, but not required.
• Bonus: Experience with basic bookkeeping or document preparation for business applications.
POSITION DETAILS::
• Part-Time Role: 25–35 hours per week; US Eastern Standard Hours (10am to 6pm EST) -"Graveyard" shift; Pay based on recorded hours of work
• Hourly Pay: $3.50–$5.00 USD per hour (approx. 20,000–40,000 PHP per month, depending on hours and experience). Compensation is paid bi-weekly.
• Flexible Hours: Work must be completed during U.S. Eastern Time business hours (10 AM to 6 PM EST), but a flexible daily schedule can be arranged.
• Trial Period: A paid trial period (typically 2–4 weeks) will be required.
