- About the Role -

Do you love turning loose ideas into clear plans, keeping projects from falling through the cracks, and making systems feel effortless?

We’re looking for an Execution-Focused Assistant to support our founder and company-wide initiatives with structure, follow-through, and initiative that moves things forward. You’ll be trusted with high-visibility internal tools like HubSpot, project coordination, communication follow-ups, and a ton of messy in-progress ideas that need to get over the finish line.

This is not a traditional EA role. This is for someone who gets excited about:

* Turning vague voice memos into structured tasks
* Owning internal tools like HubSpot and keeping them clean and updated
* Coordinating multi-step projects with lots of moving pieces
* Following up so nothing gets dropped
* Asking the questions that help an idea become real
* Being in the loop and making sure everyone else is too

- Key Responsibilities -

* HubSpot CRM Ownership: Keep it clean, updated, and actionable. Monitor pipeline activity, manage follow-ups, and make sure no lead or task is forgotten.

* Project Support: Help turn ongoing ideas into repeatable workflows and processes—marketing campaigns, outreach sequences, content coordination, etc.

* Inbox & Calendar Coordination: Occasionally help prioritize messages or scheduling when things get backed up.

* Follow-Up Champion: Track moving parts and make sure people circle back (internally or externally). You are the thread-puller.

* Systems Building: Build checklists, templates, trackers, or SOPs that help us move faster and more clearly.

* Social & Brand Support: Support with LinkedIn content planning, organizing outreach, podcast scheduling, or newsletter coordination.

- Requirements -

* Excellent written and verbal communication

* Solid attention to detail and comfort asking clarifying questions

* Comfortable working in CRMs (HubSpot experience strongly preferred)

* Familiar with tools like Microsoft Office, Teams, Canva, or HubSpot (or quick to learn)

* Self-directed and proactive (we won’t chase you to chase things)

* A curious mind that likes making things smoother, not just finishing tasks

* U.S. hours preferred for time zone overlap
