JOB OVERVIEW

Position: Assistant Manager of Operations and Communication

Reports to: Operations Manager (Leah) & CEO (Brittany)

Collaborates With: Operations Manager (Leah), Marketing & Events Manager (Katherine), Party Coordinator (Kara), and the ACOD Coaching Staff (we have 20+ coaches!)

Job Type: Full-time: 40 hours/week, long-term position. Time tracking required.

ABOUT ACOD
Aerial Cirque Over Denver (ACOD) is a thriving aerial dance (circus) studio with two locations in Colorado (Denver & Centennial). We offer youth and adult programming, teacher training, summer camps, performances, and parties, all in a welcoming, inclusive, and safety-forward environment.
We’re growing quickly and looking for a talented Assistant Manager from the Philippines to support our operations and communications (client communication and communication with our coaching staff).
This is not a passive role. We are looking for someone who is an excellent communicator, organized, able to engage in multiple tasks, and excited to jump in and learn about a business with many different types of programs. ROLE & DUTIES
As our Assistant Manager of Operations and Communication, you will provide essential support in the day-to-day operations of the business, working directly under and with the Studio Operations Manager, Leah. Here is what your role would include:

Staffing Support (Communication with our Coaching Team)
- Help coordinate coach schedules across all programs (adult/youth sessions, camps, events, drop-ins, etc.) This may include:
- Communicate via email and Slack (our staff “text” platform) with our coaching team to confirm schedule, changes, etc.
- Track coach sub requests and assist with sub assignments through our internal Slack communication and email.
- Monitor weekly coaching updates sent by Leah (e.g., camp schedules) and follow up/assist as needed.
- Input Coach Staff assignments into our client management system, ---------- nce. Make updates to these Coach assignments when there is a staffing change (someone needs a sub, etc)
- Support Leah in preparing staffing reminders, confirmations, and any needed follow-ups.

Operational Support (Client Side and internally)
- Enter and update all programs in ---------- nce, our client management system (classes, camps, events, drop-ins, performance companies, etc.).
- Draft schedules, descriptions, pricing, and capacity settings for Leah’s final review.
- Research and maintain studio session alignment with local school calendars and holidays.
- Track class cancellations or transfers, refunds, apply appropriate credits, and ensure all changes are accurate in client accounts in ---------- nce.
- Monitor registration trends and flag when classes or camps fill to assist Leah in forecasting.
- Update and maintain studio-wide Google and ---------- nce calendars for internal use.
- Assist in organizing enrollment and placement documentation for Level 2+ students as the role develops.
- Talking with ---------- nce Support on operational issues/questions that come up.

Client Facing (email no phone calls) Administrative Support
- Draft and send email responses to clients (excludes parties, private lessons, and makeups). This role involves being in charge of 2 emails. Emails need to be responded to within 24 to 48 business hour days, so checking and responding to emails is a daily part of the job.
- Act on client emails as needed, including charging clients for classes, transferring classes, answering questions, etc.
- Work within two to three Gmail inboxes, ensuring messages are properly labeled, archived, or escalated.
- Maintain clear internal organization across email threads and folders

REQUIREMENTS
Excellent English for written and verbal communications

COMPENSATION & BENEFITS

$45000 PP/month for the first 6 months
$55000 PP/month starting month 7
Annual % raises and 13th month pay bonus
Paid bi-weekly via Wise or other direct transfer

Benefits after a 6 month probation period:
Paid Leave (after 6 months probation period):
2 days per month can be used for Sick Leave day, Vacation day, or Holiday (accrued monthly after 6 months). Unused paid leave may be cashed out at year-end but does not roll over. We need advanced notice of your absence or planned day off. You will need to catch up on work when you are back from leave.

We strive to provide a stable and respectful working environment for our contractors and treat our team as valued contributors, not short-term help. We currently have 2 Filipino part-time workers as well.
