JOB OVERVIEW

We are seeking a highly organized and digitally fluent Business Operations & Payroll Assistant to manage key administrative and financial functions using QuickBooks and AI platforms such as ChatGPT. The ideal candidate will be responsible for handling PAYE, monitoring bookkeeping, making basic applications (e.g., employment, visa, or business applications), and using AI tools to generate CVs, cover letters, and prepare for interviews. You will work across finance, admin, and operations to support the business in day-to-day workflows with a strong focus on accuracy, productivity, and confidentiality.

Key Responsibilities:
Manage payroll through QuickBooks, including setting up and running PAYE, pension contributions, and end-of-year filings.
Maintain and reconcile bookkeeping records, categorizing expenses and preparing monthly cash flow and profit/loss reports.
Assist in preparing and submitting applications such as visa sponsorship forms, grant submissions, and vendor registrations.
Use ChatGPT to generate tailored CVs, cover letters, and interview question prep for job applicants or internal use.
Support general administrative duties including file management, document formatting, and communications.
Liaise with accountants and external stakeholders for monthly financial reviews or compliance checks.
Ensure digital records are updated, compliant, and well-organized across cloud platforms.
Required Skills & Competencies:
Proficiency in QuickBooks (Online/Desktop), especially PAYE processing and bookkeeping.
Strong digital literacy, with comfort using tools like ChatGPT, Google Workspace, Excel, and PDF editors.
Ability to generate professional written content such as CVs, business letters, and formal responses using AI prompts.
Understanding of UK payroll laws and tax filing processes (RTI submissions, P60/P45, etc.).
Excellent organizational skills, attention to detail, and ability to multitask under pressure.
Good written and verbal communication skills.
Discretion in handling sensitive financial and personal data.
