About the Role
We are looking for a highly organized, proactive, and trustworthy Personal Assistant (PA) to support the CEO. This is a high-exposure role that requires impeccable discretion, strong communication skills, and the ability to manage complex logistics and sensitive information. The PA will be a trusted partner who keeps the CEO on track, streamlines day-to-day responsibilities, and enables strategic focus across both professional and, at times, personal domains.
Key Responsibilities:
????? Executive Calendar Management
• Own and manage the CEO’s calendar, ensuring meetings are scheduled with context, goals, and buffers in mind
• Prioritize and coordinate competing demands to optimize productivity and protect focus time
???? Communication & Coordination
• Manage
• Act as a liaison between the CEO and internal/external stakeholders
• Prepare briefing documents, talking points, and summaries for meetings
???? Travel & Logistics
• Organize all travel arrangements (flights, hotels, ground transportation, etc.) for business and occasional personal trips
• Prepare detailed itineraries and ensure smooth end-to-end travel experiences
????? Meeting & Event Support
• Schedule, coordinate, and take notes for key meetings (board meetings, offsites, investor calls, etc.)
• Track action items and ensure timely follow-ups
????? Administrative & Personal Support
• Handle administrative tasks including expense reports, reimbursements, and document management
• Support personal errands or requests as needed to enable full CEO bandwidth
• Maintain confidentiality and exercise excellent judgment in all matters
Qualifications
• 3+ years experience supporting C-level executives in a fast-paced environment
• Exceptional organizational and time-management skills
• Clear, confident written and verbal communicator
• High integrity and discretion in handling confidential information
• Strong judgment and ability to anticipate needs and resolve issues proactively
• Proficiency in tools such as Google Workspace, Slack, Notion, Zoom, and calendar management systems
• Ability to thrive in a dynamic, startup-like environment
Bonus Points
• Experience supporting founders, investors, or executives at early-stage companies
• Familiarity with tools like Expensify, Brex, Calendly, Notion, or CRMs (e.g., HubSpot)
• Background in project coordination, communications, or operations
