I’m a Lisbon-based entrepreneur scaling multiple aligned ventures:
- Ecommerce – Amazon, liquidation, niche home décor
- Real Estate – Airbnb and short-term rental portfolio
- Festivals & Events – Transformational gatherings with global reach
Seeking a sharp, experienced and highly organized Executive Assistant to provide structure, clarity and proactivity to my life and ventures. You’ll be the steady hand that keeps things moving forward behind the scenes. I am building a $15M+ family office.
What You’ll Own
1. Calendar and
- Manage and optimize my Google Calendar
- Coordinate meetings across global time zones
- Triage, organize, and maintain inbox
- Draft replies as my Executive Assistant (not pretending to be me)
- Automate scheduling using Calendly
2. Tools and Systems
- Build and maintain a clean, custom Notion workspace
- Manage tools like Gmail, Slack, Calendly, and ChatGPT
- Recommend and implement better tools and automations
3. Admin and Operations
- Draft and organize SOPs (Airbnb, e-commerce, logistics)
- Light support with dashboards and document organization
- Assist with personal admin, travel planning, and follow-ups
- Ensure everything I touch moves forward with clarity and efficiency
Who You Are
- Minimum 2 years experience as an EA supporting a founder or executive
- Fluent in English, both spoken and written
- Highly organized, detail-oriented, and proactive
- Tech-savvy and confident learning new tools
- Available 1–5 PM Lisbon time (8 PM–12 AM PH time)
- Excited to grow into 30–40 hrs/week if it’s a great fit
Tools We’ll Use
- Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
- Notion (you’ll build and maintain it)
- Calendly
- Slack and WhatsApp Web
- ChatGPT and Claude
- Bonus tools: Loom, Trello, Airtable
