Startup Operations Specialist/Project Manager (Direct to CEO | Execution Role)

We are seeking a highly proactive, execution-focused force multiplier to the CEO to drive high-level execution in a fast-paced, dynamic environment. This role offers an opportunity to work closely with the CEO, gain direct insight into strategic decision-making, and contribute to the real-world ---------- ntum of the business.

The ideal candidate thrives on making structure, executes fast, and drives initiatives across the finish line. You must be comfortable managing multiple priorities while ensuring consistent, decisive progress. You will need to be highly organized, adaptable, and ready to own both strategic initiatives and tactical tasks that require extreme accountability and follow-through.

This is a remote position. And the CEO operates at a high pace, and this role requires someone who can anticipate needs very well, move without micromanagement, and act as a direct multiplier on output, speed, and results.

Mission of the Position:

This is not an admin job.

This is not a support role.

This is a lead-from-the-second-chair operator get things done hands dirty with a big smile, chaos conquered and turned into something beautiful.

You’ll act as an extension of the CEO’s execution engine-moving with extreme clarity, speed, and ownership. If the CEO is the quarterback, you're the one clearing blockers, calling audibles, and getting us over the line. Every single day.

The Execution Partner serves as the CEO’s right-hand, owning and driving projects, resolving operational friction, and turning direction into results. You are here to get things done—not just support, but execute, solve, build, and finish. Your performance is measured by outcomes, speed, and clarity.

Essential Duties & Responsibilities
#1 Strategic Execution & Force Multiplication. Own outcomes and drive initiatives forward that directly impact company growth. Take vague ideas and partial plans from the CEO and convert them into clear execution paths. Take ownership of anything I need done to “make it better”, including some “very interesting things”, you will never be bored! and operational tasks that move the business forward. Proactively improve systems, remove bottlenecks, and bring order to chaos without waiting to be asked. Act as an extension of the CEO-handle high-leverage tasks quickly and follow through relentlessly.

#2 Business Operations & Problem Solving Stay aware of ongoing business operations and drive execution on core initiatives. Solve problems independently and take friction off the plate of the CEO. Create and optimize systems, SOPs, and workflows that increase team speed. Track key tasks and deadlines across teams and hold the line on completion.

#3 Shadowing & Learning Work closely with the CEO to understand business goals, decision-making processes, and leadership approaches. Learn fast, act fast, and translate context into clear action. Research, synthesize, and act on business challenges, opportunities, and areas for improvement.

#4 Communication & Coordination Be the CEO’s filter and amplifier. Ensure information flows to the right people at the right time. Follow up on action items and ensure no critical task or project falls through the cracks. Draft key communications, simplify decisions, and keep the team aligned.

#5 Project Ownership & Operational Execution Manage and complete projects that move the needle—no babysitting required. Coordinate cross-functional execution, drive clarity, and close loops fast. Handle logistics and mission-critical admin only when it directly supports business acceleration.

-Strong Business Awareness: Maintain a pulse on key business operations and initiatives, ensuring alignment between the CEO and team.

-Operational Structure & Documentation: Build and document processes to improve efficiency and consistency in execution. Make sure they all get used.

-Rapid Learning & Adaptation: Demonstrate a strong ability to learn, grow, and contribute meaningfully to business operations.

-Proactive Clarity Questions: Ask awesome questions to turn Founder’s Guidance into “next steps”

Specific Position Responsibilities
#1 Strategic Execution Execute directly on projects that drive growth, streamline operations, and enhance team output. Implement and iterate on initiatives based on CEO vision—without needing to be chased. Track and follow through on deliverables that impact revenue, performance, and outcomes. Handle high-leverage execution tasks across departments and ensure priorities are completed fast.

#2 Business Operations Awareness & Support Own project timelines, deliverables, and organizational clarity across departments. Identify inefficiencies, propose solutions, and build systems that eliminate chaos. Drive recurring tasks, cross-functional coordination, and progress tracking to completion.
Communication & Coordination Summarize key discussions, decisions, and next steps in clear, actionable notes. Manage communication flow across the company so the CEO stays in strategic territory. Track team output, follow up on execution, and clear communication blockers.

#3 Proactive Problem-Solving & Decision Support See around corners and fix issues before they happen. Handle urgent problems fast and independently. Surface relevant information and proposed solutions to the CEO only when needed.

#4 General Operations Support: Take on high-value admin only when it creates leverage or protects time. Own key recurring operational workflows and improve them as needed. Ensure systems are documented and processes run without bottlenecks.
Education, Experience, and Qualities. 2+ years owning execution in a fast-moving ops, chief-of-staff, or force multiplier role (not just assistant work). Experience directly supporting a CEO/founder or owning execution in a startup, agency, or growth company. Extreme attention to detail with relentless follow-through. High adaptability and willingness to work in a fast-paced environment. Highly organized with the ability to create structure in chaos. Strong written and verbal communication skills. You’re a problem-solving weapon who naturally takes massive action..
