We are seeking a detail-oriented and proactive HR Administrative Assistant to join our growing team. This fully remote position is integral to ensuring the smooth operation of HR administrative functions, including contract preparation, document management, and employee records maintenance. You'll work closely with our HR and operations teams to support a seamless employee experience and ensure compliance with internal processes and external regulations.
Key Responsibilities:
1. Document and Contract Management
Draft, issue, and track employment contracts and other HR-related documents.
File and maintain employment records in the company’s Drive system.
Ensure proper naming conventions and version control are followed.
2. Right to Work Checks
Coordinate and conduct right to work checks in accordance with local employment laws.
Ensure all right to work documentation is verified, up to date, and securely stored.
3. HR Systems and Records Maintenance
Maintain and regularly update the HR system (e.g., BrightHR).
Ensure accurate records of employee data, including personal information, job titles, benefits, and changes.
4. General Administrative Support
Assist in onboarding and offboarding processes, including document preparation, account setup coordination, and exit documentation.
Manage HR inbox and respond to general queries or escalate when appropriate.
Assist with the coordination of probation reviews, appraisals, and training records.
Prepare employment verification letters and other employee documentation as required.
5. Additional HR Administrative Tasks (as needed)
Assist with the coordination of internal HR projects and initiatives.
Support payroll processing by ensuring accurate data entry and recordkeeping (not processing payroll but ensuring required inputs are provided).
Maintain employee absence and leave records (e.g., holiday, sickness, parental leave).
Support with data collection and reporting on HR metrics and KPIs.
Requirements:
Proven experience in an HR administration or support role (minimum 1–2 years preferred).
Strong understanding of document handling, data protection, and right to work checks (especially UK-based requirements if applicable).
Excellent organisational and time management skills.
High attention to detail and accuracy.
Proficient with cloud-based tools (Google Workspace, Drive, etc.).
Experience with HR systems or databases (e.g., BrightHR).
Strong written and verbal communication skills.
Ability to work independently and manage multiple priorities in a remote setting.
