Executive Assistant and HR Manager

Job Summary

The company is a Head Office company that manages a small group of companies. We are active and operating in 3 different industries. We are running internationally known Franchise businesses for over 15 years. Doing home services businesses such as janitorial, commercial snow removal, medical supplies importation and distribution, and Ecom. We also have a Construction Company, General Contracting and various Renovation Projects. You will have proximity and be supporting the CEO with various functions and mini projects in a very dynamic and fast changing work environment relating to the CEO and the group of companies.

You are fiercely obsessive about providing exceptional outputs and experience not only to clients and customers, but to all stakeholders who interact with you. You have a strong background in supporting CEOs and a solid foundation or work experience in Human Resources (HR). You possess exceptional interpersonal, communication, organizational, and project management skills.

This role requires meticulous attention to detail, a strong ability to understand the big picture, and the capacity to manage multiple competing priorities simultaneously. The candidate must be proactive in anticipating needs, identifying root causes of issues, and setting up systems and processes to prevent or address main challenges.


Key Responsibilities:

Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and handling correspondence.

Support HR functions, such as prescreening, interviewing, short listing, and onboarding new employees, managing personnel records, and coordinating with HR on employee-related matters.

Assist with special projects and initiatives as assigned, dealing with businesses and projects across multiple industries.

Proactively anticipate the CEO’s needs and address potential issues before they arise.

Identify opportunities for process improvement and implement efficient administrative systems.

Maintain confidentiality and discretion in all matters.

Manage multiple projects and priorities simultaneously, ensuring timely completion and high quality.

Act as a liaison between the CEO and internal/external stakeholders.

Coordinate travel arrangements and manage expenses.

Strong to advanced skills with MS Excel


Required Qualifications and Skills:

Proven experience as an Executive Assistant or similar role, preferably with CEOs.

Background in Human Resources or a related field.

Exceptional interpersonal and communication skills, with the ability to interact with executives, employees, and external parties.

Strong organizational skills with attention to detail.

Experience in project management, with the ability to handle multiple tasks and priorities.

Excellent time management and problem-solving abilities. Time Sensitive and aware.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

Discretion and ability to handle confidential information.

Bachelor’s degree in Business Administration, Human Resources, or a related field (preferred).

Proactive Problem-Solving: Skill in anticipating needs, identifying root causes of issues, and implementing efficient systems and processes to prevent or address challenges.

Systems and Process Optimization: Experience in developing and maintaining organized systems for document management, data handling, and administrative tasks, utilizing relevant software and tools.

Tech savvy, resourceful, and optimistic and functioning with a GSD Attitude

Self starter, knowing how to structure, prioritize and coordinate self, others, teams, and projects.
