Position Overview:
We are seeking a reliable, detail-oriented, and highly organized Executive Assistant to support the CEO across multiple business entities, including client-facing and internal operations. This role will focus on inbox and calendar management, communication workflows, task tracking, and support across multiple tools and software platforms. We need someone extremely tech savvy and independent.
The ideal candidate is a proactive self-starter who excels in managing administrative systems, coordinating details, and keeping business operations running smoothly behind the scenes.
Key Responsibilities:
???? Administrative & Operations Support
Full calendar and meeting management, including scheduling, reminders, and coordination across time zones
Inbox management: drafting responses, organizing
Support client communication tracking and follow-up via Slack,
Assist with proposal preparation, SOP documentation, and process audits
Support scheduling and logistics for internal tea
Light project management and task delegation across platforms like Zoho Projects or ClickUp
???? Systems & Software Management
Navigate tools like Zoho One (Projects, Bookings, CRM), Google Workspace, Slack, and Microsoft 365
Maintain digital organization of files, SOPs, and project documentation
Troubleshoot and manage administrative issues related to bookings, forms, or automations
???? Communication & Coordination
Assist with summarizing meetings and tracking action items
Manage reminders, approvals, and confirmation
Create agendas, progress updates, and executive summaries as needed
Qualifications:
Strong organizational and multitasking abilities
Excellent written and verbal communication skills
Comfortable navigating business software and learning new tools quickly
Experience managing multiple calendars and inboxes
Highly reliable, deadline-driven, and able to work with minimal supervision
Familiarity with CRMs, scheduling tools, and Slack communication preferred
