GH Logistics and AJG Transport are seeking a full-time, highly organized Onboarding Admin to oversee the day-to-day processing and coordination of our driver onboarding, compliance, payroll support, and document auditing systems. This role is vital to keeping our fleet legal, ready, and structured—and your job will be to make sure every
document, update, and action is accounted for.
You’ll work directly with our Recruiting, Payroll, Risk Management, and Dispatch departments to track, manage, and execute high-volume admin tasks with daily urgency and precision. If you thrive in structure, detail, systems, and can work under fast-moving pressure, this is your role.
Key Responsibilities:
Driver Onboarding
Review CDLs, Medical Cards, MVR, Clearinghouse, I9s, PSPs
Build LoadStop profiles and upload all required documents '
Generate lab passports, coordinate background checks
Create Roadtest Certificates, track roadtest completions
Coordinate with recruiting for pending docs and setup of new drivers
Submit payroll forms (W4, Direct Deposit), and update insurance with two other admins
Build new driver digital kits (LoadStop, Samsara, Fuel Cards, Masterlist access)
Safety and Compliance
Update driver tracker daily
Update weekly onboarding & compliance tracker
Track training completions via Samsara and send follow-up alerts
Assist with safety calls, pending safety memos, and expired certifications
Run monthly MVR Point audits and distribute score memos
Follow up on expiring medical cards, documents, licenses
Admin Support
Support payroll case creation and follow-ups (Layovers, driver write-ups)
Send mass announcements and policy changes to drivers via
Track document status inside LoadStop & troubleshoot errors with tech team
Train new Admin staff on driver setup systems
Coordinate cross department communication between Recruiting and Operations
Additional Projects
Collaborate with safety, creative, and management staff on driver training tools
Help track and clean up all “removal” workflows for outgoing drivers
Qualifications
Extremely detail-oriented and highly organized
Fluent in English (written and spoken)
Familiar with GDrive, Slack/Telegram, and advanced
Comfortable with Excel/Google Sheets, PDF editing, form filling
Fast learner, can follow SOPs and handle large checklists with accuracy
Proactive communicator—doesn’t wait to be asked, follows up consistently
Familiarity with Tenstreet, LoadStop, Samsara, Sambasafety, and/or Dialpad a plus
Comfortable managing sensitive and confidential data
Preferred Experience
Preferred Experience (not required but helpful):
Prior work in transportation/logistics
Experience using LoadStop, Samsara, Masterlists, or TMS tools
Familiar with FMCSA/DOT compliance
Experience with remote team tools like Notion, Loom, Slack, or HelloSign
