JOB OVERVIEW

We're looking for a strategic, detail-obsessed Virtual Executive Assistant to partner directly with our CEO.

This is not a traditional assistant role — you’ll be a force multiplier who creates systems, anticipates needs, and takes initiative to eliminate distractions, clear bottlenecks, and enable the CEO to focus exclusively on high-leverage activities that grow the company.

You’ll handle calendar management, inbox triage, meeting prep, and recurring tasks — and just as importantly, you’ll build the processes and structure needed to make our executive operations scalable and repeatable.

Success in this role means:

- The CEO is consistently working on what only they can do
- Meetings, decisions, and deliverables are proactively organized and supported
- You’ve implemented systems that remove chaos and bring clarity
- The company grows faster because the CEO’s time is fully optimized

Key Responsibilities

- Inbox Management: Triage and respond to emails; flag what matters most and draft replies where possible
- Calendar Ownership: Schedule, optimize, and protect the CEO’s time based on top priorities
- Process Development: Create and refine SOPs for repeatable tasks across admin, ops, and communications
- Meeting Preparation: Ensure agendas, materials, and follow-ups are prepared and documented
- Task Delegation: Take initiative to handle or delegate tasks that don’t require the CEO’s input
- Information Flow: Keep the CEO informed without overwhelming them
- Other Duties: Research, travel coordination, note-taking, vendor coordination — whatever helps remove friction

Note: This is not a lead gen/social media management heavy role. This is to help free up the CEO's time so he can focus on the most important 20% of the business.

Preferred Qualifications

- Experience supporting founders, C-suite, or high-level executives
- Proven success in a remote and fast-paced environment
- Skilled in tools like Microsoft 365
- Experience building systems or documenting SOPs
