Job Opportunity: Executive Assistant to Founder

As the Executive Assistant to the Founder, you will play a pivotal role in their success by ensuring their schedule is optimized, communications are seamless, and their operational workflows are efficient and scalable. What You'll Do (Responsibilities)
Executive Support & System Implementation
You will manage and maintain the Founder's complex and ever-changing calendar, including scheduling internal and external meetings, appointments, and travel, always optimizing for speed and efficiency. You'll act as the primary point of contact for the Founder, liaising with internal teams, prominent brand clients, student ambassadors, vendors, and other key stakeholders with perfect/near-perfect English, professionalism, and discretion. This includes screening, prioritizing, and managing communications across multiple channels
Operational, Systems & Logistical Support
A key part of your role will be to design, implement, and continuously improve robust operational systems using Notion, Google Drive, and other specified tools to ensure peak efficiency for the Founder and team. You will also build, manage, and optimize CRM systems to support operational processes and, ideally, sales-related activities. You are expected to drive team organization and management by coordinating with internal teams (marketing, operations, ambassador management) to ensure seamless communication, project execution, and adherence to established systems. You must proactively identify and rapidly solve logistical or administrative issues, constantly seeking to streamline workflows and enhance productivity. Handling confidential information with the utmost discretion and integrity is paramount. You will also assist with special projects, campaign-related tasks, and research as directed by the Founder, applying systematic approaches, and may assist with light expense reporting and tracking, ensuring accuracy and timely submission.

Sales Acumen (Ideal): Previous experience or a strong understanding of sales processes would be highly beneficial.

Education & Experience
A Bachelor's degree or equivalent experience is preferred. You must have proven experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role, preferably supporting a senior executive, founder, or entrepreneur in a fast-paced setting. Demonstrable experience in building, implementing, and managing operational systems using tools like Notion, Google Drive, and CRMs is essential. Experience in a marketing agency, branding company, tech startup, or a related dynamic industry is a strong plus. You'll need to show a demonstrated ability to manage complex calendars, coordinate travel, and prepare for high-level meetings with exceptional speed and accuracy. Excellent time management, multitasking, and prioritization skills are required, along with strong problem-solving abilities and a proactive, "can-do" attitude, focused on rapid execution.
