Operations Assistant – Healthcare Staffing Marketplace

Single Aim ( ---------- ) runs a fast-growing U.S. marketplace that matches clinics with collaborating physicians. Tight, error-free daily operations are the backbone of what we do. We’re looking for a highly conscientious assistant who loves running predefined processes the same way, every day, without fail.

What You’ll Own — 4 Core Work-streams

Funnel Management
- Approve new job posts
- Review credentialing packets
- Create and update records in our CRM (GoHighLevel)
KPI: Same-day completion, Very low % data errors

Physician Recruiting
- LinkedIn + Instagram outreach (templated)
- Track responses and stage moves
- Schedule intro calls
KPI: New outbound touches / day

Member Services
- Audit active members monthly against checklist
- Flag anomalies for management
KPI: 100% audits sent on expected business day

Customer Support
- Reply to support inbox same day (scripted FAQs)
- Escalate edge cases
KPI: CSAT

Must-Have Attributes
- Reliability Obsessed – you’ve held a role where zero-defect repetition was critical (e.g., claims processing, order fulfillment, payroll).
- Process Lover – happiest when ticking boxes in Asana and improving a checklist by 1 %.
- English Proficiency – C1 writing + clear spoken English for occasional Zoom.
- Tech-Savvy – Google Workspace, LinkedIn, Instagram, Gmail filters, basic Excel/Sheets formulas.
- Timezone – At least 4 overlapping hours with 9 am–5 pm PST (Mon–Fri).

Nice-to-Have
- Exposure to U.S. healthcare, credentialing, or staffing workflows.
- Experience with CRM tools (GoHighLevel, HubSpot, etc.).
