Led by Executive Coach Tamara Williams, our team is growing, and we’re looking for a sharp, resourceful, and tech-savvy Virtual Assistant to help streamline operations, enhance client experiences, and implement systems that drive success.

Role Overview:
This role is ideal for someone who is highly organized, proactive, tech-literate, and detail-oriented, with hands-on experience using GoHighLevel (GHL), Canva, ClickUp, Google Workspace (G-Suite), and LinkedIn. You will support business operations, data organization, content creation, project management, and process documentation.

We’re seeking someone who thrives in a fast-paced, creative environment, is confident working independently, and brings clarity, structure, and follow-through to complex projects.

Key Responsibilities:
????? Systems & Project Support
Assist with building and maintaining workflows in GoHighLevel, including tags, triggers, and automation updates.

Support ClickUp task management, including creating SOPs, setting due dates, assigning roles, and ensuring task completion.

Maintain and organize shared folders, files, and documentation in Google Drive.

Clean up and segment contact databases in GHL using tags, custom fields, and smart lists.

???? Marketing & Branding Support
Create and edit graphics in Canva (social media posts, PDFs, presentations, and branded documents).

Schedule and manage posts on LinkedIn using pre-approved content and content calendars.

Upload and format content in GHL, Canva Docs, Google Docs, and other client-facing platforms.

???? Data & Process Management
Conduct data entry and cleanup, manage CRM contact segmentation, and ensure system consistency.

Assist with the documentation of processes, procedures, and automation workflows.

Build process maps and visual workflows for team and client use.

???? Client & Team Coordination
Track client progress in GHL pipelines and ClickUp tasks, ensuring projects progress on time.

Provide weekly summaries and updates to Coach Tamara via ClickUp and email.

Flag tasks for review and coordinate internal communications between tea ---------- mbers.

Ideal Candidate:
2+ years of experience as a Virtual Assistant or Operations Support Specialist.

Proficient with:

GoHighLevel (GHL) – CRM, workflows, calendars, email/SMS campaigns.

ClickUp – task setup, dashboards, docs, templates.

Canva – basic design, templates, document formatting.

LinkedIn – content scheduling, profile edits, lead tracking.

G-Suite – Docs, Sheets, Forms, Slides, Drive organization.

Excellent written and verbal communication skills.

Highly organized, detail-oriented, and proactive in follow-up.

Comfortable working in a fast-paced, evolving environment.

Strong documentation and note-taking skills—able to simplify complex processes.

Bonus: Experience with Zapier and AI tools for automation.
