We are a boutique mobile and web agency offering services for website, mobile and cloud based applications .
The Role:
In this Operations Assistant graduate job, you can expect a variety of tasks and responsibilities. This includes making sure office functions run smoothly and assisting the key team members to ensure they are getting things done and making sure their team is performing and closing all tasks in day to-day activities, to taking on more client-facing activities and account responsibilities. This role provides a lot of scope for progression and is perfect for someone looking to quickly develop their skills and rise to increasing opportunity.
Key Responsibilities:
In this Assistant graduate job, your responsibilities will be varied and include:
• Working closely with the Director as his acting PA
• Processing invoices and updating the databases on their system
• General delivery responsibilities including monitoring reoccurring deliveries, ensuring all deliveries are received and sent out on time
• List of other tasks will be given in detailed job description
• Working with the Account Management team on client briefs, this includes creating timelines for projects
• Liaising with designers, programmers and suppliers when appropriate to ensure a seamless running of the project
• Keeping up a high level of communication with clients to ensure a high quality of service is delivered
What we're looking for?
• A bright and hardworking individual with a minimum of a 2:1 from a top university
• Excellent communication skills, both written and verbal
• Fantastic organisation and time management skills
• Highly experience in Microsoft Office and a keen eye for detail
• Minimum of 3 year of experience in an administrative and assistant role capacity
• Computer expert proficiency with Microsoft Office (Word, Excel, PowerPoint and Outlook)
• Team player with a great attitude with the ability to interact with and build strong relationships across multiple levels of employees and clients within and outside the organization.
• Detail-oriented, with proven organizational and prioritization skills
• Excellent analytical skills with the ability to exercise appropriate judgment in executing tasks without supervision
• Ability to multi-task a variety of projects at any given time and operate within an organization conducting business across multiple time zones
• Effective communication skills (written and verbal)
• Strong interpersonal skills, with the ability to anticipate needs, take initiative, prioritize, meet deadlines, and be resourceful and flexible, while maintaining absolute professionalism and confidentiality
• Must possess enthusiasm, flexibility and creativity and be willing to assume challenges and increased responsibility.
• Detail oriented with strong organizational and multi-tasking skills
• Ability to quickly learn internal meeting systems (i.e. video conference, telepresence, webex, photoshop, trello, toggle, hubstaff, activecollab, jura , etc.) and the resources of who to reach out to with questions, setup, etc.

Preferred Qualifications
• Social media tools experience not just experience to use facebook and instagram but with tools like sprout, hootsuite, analytics tools, deep reporting using facebok advert manager and google advert manager
• Minimum of 5 years’ experience supporting a senior level executive in a large organization
• Experience in a digital design agency building mobile and website apps
• Expert in MS office tools specially excel for reports with requires numbers and MS word for proposal and PPT to assistant other team members for powerpoint presentations
• Very organized to have links, files, data in the most handy manner as and when needed as an agency we deal with data influx and this is a key skill for a person we are looking for to find the link, doc, content report as and when needed instantly
