We are looking for an experienced, full time Sales & Marketing Coordinator to support client engagement, marketing, and business development for our Canadian law firm. This role includes client intake coordination, CRM management, newsletter and social media content creation, event planning, and partnership building.
Previous experience as a Sales and Marketing coordinator, including strong CRM and Community Manager skills is necessary for this job.
PLEASE NOTE: This is a full time, ongoing job, so please only apply if you are looking for a full-time contract.
Key Responsibilities:
1. Client Communication & Intake
• Respond to inbound
• Conduct intake interviews and gather preliminary information
• Follow up on incomplete intake forms
• Maintain organized digital client files
2. CRM Upkeep and Data Management
• Enter and update data in our CRM system
• Monitor client status and movement through the customer acquisition pipeline
• Provide dashboard level reporting of lead status to management
3. Monthly Newsletter Development
• Coordinate and edit monthly newsletter content
• Manage distribution lists and send newsletters (Mailchimp preferred)
• Track and report engagement
4. Google Reviews Admin
• Request and follow up on client reviews
• Monitor and report trends in feedback
• Track client sentiments and escalate concerns to management as needed
5. Social Media & Content Marketing
• Maintain monthly content calendar (Community Manager mindset)
• Draft and publish content for LinkedIn,
• Create and respond to engagement (comments, messages)
• Use LinkedIn Sales Navigator to connect with leads and partners
• Analyze content performance using tools like Metricool or Excel
• Assist with graphic design or coordinate with designers for branded visuals
• Repurpose content from events, newsletters, and FAQs
6. Event Planning & Coordination
• Plan in-person and online events
• Handle all event logistics
• Track attendance and gather post-event feedback
7. Building Partnerships & Referral Networks
• Proactively engage professional service providers that align with our firm
• Maintain and grow a referral partner list
• Track referral outcomes and provide reports on network growth

Ideal Candidate:
• At least 2 years previous experience in a Customer Relationship role, including maintaining a CRM application and other customer acquisition efforts like social media, newsletters, LinkedIn Sales Navigator, and building referral networks
• English speaking with business-level proficiency
• Pleasant conversational skills on the telephone (you will use our phone system)
• Able to commit to working at least 30 hours a week
• Proficiency in tools like Mailchimp, LinkedIn Sales Navigator, CRM platforms like HubSpot or Click-up, Excel, Canva, or the Adobe suite (or basic design tools)
• Able to work with a team and take direction
• Able to be accountable for your work and report your efforts
• Experience working in a professional environment (with lawyers, accountants, or consultants)
• Able to manage your time
• Able to work with detail-oriented task and stay organized
Hours & Terms:
• Hours: Approximately 30 hours a week
• Remote, with availability in Pacific Standard Time
• Ongoing hourly contract with regular pay increases based on performance.
