Real Estate Contract & Assistant

We are a US-based real estate company seeking a detail-oriented Virtual Assistant to serve as our Contract Concierge & Closing Assistant. Our team is committed to providing seamless transactions for our clients through efficient contract management and processing.

Position Overview
As our Contract Concierge, you will be responsible for preparing, managing, and tracking real estate contracts using Dotloop and Follow Up Boss. This role requires meticulous attention to detail, excellent organizational skills, and the ability to maintain accurate documentation while ensuring all transaction timelines are met.

Key Responsibilities
Prepare real estate contracts, addenda, and related documents in Dotloop
Create and manage transaction loops for all new listings and purchases
Ensure all required fields are completed accurately in contract documents
Coordinate document signing between all transaction parties
Maintain organized digital files of all transaction documents
Communicate with agents, clients, title companies, and other stakeholders
Verify all required documents are present and properly executed
Generate contract status reports for team leadership
Assist with troubleshooting any contract-related issues

Requirements
Previous experience in real estate transaction coordination or contract administration
Strong understanding of real estate contracts and transaction processes
Excellent attention to detail and organizational skills
Professional written and verbal communication abilities
Ability to prioritize tasks and meet deadlines
Self-motivated with minimal supervision requirements
Experience working in a virtual environment
Availability during US hours 9:00 am to 9:00 pm EST including weekends
Schedule is rotating 2 days on, 2 days off, 3 days on, etc.

Technical Skills
Proficiency with Dotloop or similar transaction management software
Experience with CRM systems (Follow Up Boss preferred)
Strong computer skills including Microsoft Office or Google Workspace
Comfort working with digital document formats
Ability to learn and navigate between multiple software platform
