Staffing Operations Specialist

We are a fast-growing healthcare staffing company based in the Southeastern United States, and we are looking for a detail-oriented, proactive Operations Specialist to join our remote team.

Position Overview:
- This role will support our U.S.-based staffing operations by:
- Managing and updating staff schedules across multiple client facilities
- Plotting open shifts and coordinating with workers to fill them
- Communicating with facility schedulers regarding shift confirmations and changes
- Monitoring staff clock-ins/outs and addressing attendance or timesheet issues
- Responding to last-minute call-outs and requests for additional staff coverage
- Handling scheduling-related support and escalations from both staff and client leadership
- Coordinating with the payroll team to ensure accurate timesheet data
- Collaborating with recruitment and onboarding teams for shift readiness and worker placement

Required Experience:
- Minimum 1 year of experience in a staffing company operations role
- Familiarity with healthcare staffing is a strong plus
- Hands-on experience with scheduling platforms (e.g., When I Work), and payroll platforms like ADP, WorkforceNow or Paychex
- Comfortable making outbound calls and communicating with U.S.-based employees and clients
- Experience coordinating with payroll teams to reconcile timesheets and schedules

Qualifications & Skills:
- Bachelor’s degree in any discipline
- Strong written and spoken English communication skills
- Proven ability to multi-task, prioritize, and stay calm under pressure
- High attention to detail and a problem-solving mindset
- Strong working knowledge of Google Sheets and other cloud collaboration tools
- Minimum 2 years of experience working remotely as a virtual assistant on the graveyard shift
