JOB OVERVIEW

Description:
I’m a small business owner based in Hawaii, running both a growing mental health practice and a small mid-term rental business (2-4 rental units). I’m looking for a proactive, trustworthy, and organized Virtual Assistant from the Philippines to help me free up time and focus on growing both businesses. This is a long-term, part-time role (10-15 hours/week) with potential to increase over time based on performance and business growth.


Key Responsibilities:
For Mental Health Practice:
-MAIN DUTY: Respond to intake inquiries (email, voicemail, form submissions). Convert as many incoming calls as possible into actual clients.
-SECONDARY DUTY: Establish and maintain direct referral sources
-Schedule client appointments and manage calendar
-Send intake paperwork and manage follow-up
-Light bookkeeping (QuickBooks or Google Sheets)
-Maintain confidentiality and HIPAA awareness

For Mid-Term Rental Business:
-MAIN DUTY: Establish and maintain direct referral sources. Research and initiate contact with local networking/referral sources (e.g., military, hospitals, travel nurse groups, insurance relocation specialists, etc.)
-Coordinate cleaning/maintenance schedules
-Manage property listings and availability
-Light bookkeeping (QuickBooks or Google Sheets)

General Business Support:
-Monitor and respond to emails
-Conduct online research
-Draft outreach messages or marketing emails
-Create SOPs and improve workflows over time


Ideal Candidate Will Have:
-Excellent English communication (written and spoken)
-Personable, approachable, and able to establish new connections in the community.
-Strong organizational skills and attention to detail
-Experience with CRMs, Google Workspace, spreadsheets
-Familiarity with calendar management and client communication
-(Preferred) Experience in mental health admin or real estate/rentals
-A proactive attitude — someone who sees what needs to be done and gets it done


Tools We Use:
-Google Workspace (Gmail, Drive, Docs, Calendar)
-Therapy Notes, EHR platform (training provided if needed)
-Spruce,HIPAA-compliant communication platform (training provided if needed)
-Airbnb, Furnished Finder, Facebook Marketplace, Hospitable
-QuickBooks and Google Sheets


Compensation:
-$5/hour (USD), paid biweekly via Venmo or Zelle (open to other methods of payment)
-Part-time to start: 10-15 hours/week with potential for more
-Flexible schedule with some overlapping hours for communication
