JOB OVERVIEW

We are looking for a detail-oriented, proactive, and kind Virtual Assistant to join our SaaS agency as a Customer Success & Operations Assistant. This hybrid role is designed to support client communication, reduce churn, clean up CRM workflows, and assist with backend operations and light sales. ? What You’ll Be Responsible For
???? Customer Support & Communication
Respond to incoming support, onboarding, and billing emails
Proactively check in with clients to improve satisfaction and reduce churn
Host or assist in welcome call
Escalate issues to the right person (Katie or tech support)


???? Calendar & Scheduling
Manage calendar
Route inquiries efficiently across the team
Keep our calendar clean and conflict-free


???? CRM & Workflow Cleanup
Clean up GoHighLevel workflows, tags, and automations
Maintain accurate affiliate tracking data
Generate biweekly affiliate payout reports


???? Customer Success & Light Sales
Educate users on key features (AI tools, unified inbox, social planner)
Spot upsell opportunities and support implementation
Monitor engagement using GoCSM and send reminders/follow-ups
Always be helpful, human, and unscripted


???? Tools You’ll Use
GoHighLevel
GoCSM
Google Sheets / Excel
Slack, Zoom, WhatsApp
Stripe
Nice-to-have: Basic video or funnel editing


???? Must-Have Skills
Strong GoHighLevel experience (tags, workflows, CRM logic)
Excellent written communication and email management
Organized and dependable with strong attention to detail
Comfortable on Zoom for client calls
Calendar and task management
Empathetic and customer-first mindset


???? Nice-to-Haves
Familiarity with affiliate tracking and reporting
Experience in sales support or upselling
Funnel building/editing
Understanding of the MLM industry


???? Work Hours
Monday–Friday
Eastern Time zone preferred
Weekly Zoom calls + daily Slack or WhatsApp updates
