**Job Description: Virtual Assistant**
**Position Summary:**
We are seeking a proactive and detail-oriented Virtual Assistant to support our team across a range of marketing and administrative activities. This role requires excellent organizational skills, creativity in marketing content creation, and the ability to manage multiple tasks and deadlines effectively. The Virtual Assistant will play a critical role in ensuring smooth execution of our marketing campaigns, client communications, and internal tracking systems.
**Key Responsibilities:**
Marketing Activities:
* Schedule social media posts
* Create graphics and marketing materials using Canva.
* Edit videos for social media and other marketing channels.
* Manage direct mail marketing campaigns through Send Out Cards, including:
* Endorsement Campaigns & Lumpy Mail
* Birthday Cards
* Monthly Thank You for the Referral messages
* Inner Circle Agent Gifts
* Builder Warranty Campaign
* Produce and distribute Quarterly Home Maintenance Newsletter.
* Design additional marketing materials such as printouts, flyers, and leave-behinds.
* Prepare professional presentation slides.
* Schedule & Send 5-star review text messages to referral sources.
* Track and report on inactive agents.
* Manage the monthly promotion list and schedule SMS delivery.
**Administrative Activities:**
* Oversee the Trusted Local Professional Program, including:
* Tracking and reporting member landing page traffic.
* Producing member content for social media.
* Track and input weekly and monthly key performance indicators (KPIs).
* Respond to online reviews in a timely and professional manner.
* Monitor and report on Google Ads performance and results.
**Qualifications:**
* Strong organizational and time-management skills.
* Proficiency in Canva, social media platforms, and video editing tools.
* Excellent written and verbal communication skills.
* Familiarity with marketing platforms (e.g., Send Out Cards) and SMS marketing tools.
* Ability to analyze data and report on KPIs and campaign performance.
* Self-starter with the ability to work independently and manage multiple tasks.
**Work Environment:**
This is a virtual/remote position. The successful candidate must have reliable internet access and be available to coordinate with the team during agreed-upon working hours.

**Onboarding & 90-Day Goals**
To gauge success in this role, the Virtual Assistant will be expected to achieve the following within their first 90 days:
**First 30 Days:**
* Complete onboarding training on company systems, tools, and marketing processes.
* Learn and demonstrate proficiency with Canva, Send Out Cards, social media platforms, and video editing tools.
* Shadow or assist with at least two social media and direct mail campaigns.
* Begin managing and scheduling posts on the social media production calendar.
* Prepare draft designs or edits for marketing materials and receive feedback.
* Familiarize with the Trusted Local Professional Program and start tracking member activity.
**By Day 60:**
* Independently manage regular social media posting, basic graphic design, and video edits.
* Successfully run at least one direct mail campaign through Send Out Cards from start to finish.
* Begin preparing and sending 5-star review text messages and monthly promotion SMS campaigns.
* Track and input weekly/monthly KPIs with minimal oversight.
* Respond to online reviews professionally and report any trends or concerns.
* Deliver member content and social media posts for the Trusted Local Professional Program.
**By Day 90:**
* Consistently manage all assigned marketing and administrative duties with high accuracy.
* Deliver the Quarterly Home Maintenance Newsletter on time and in alignment with company standards.
* Provide monthly reports on inactive agents, Google Ads performance, and marketing outcomes.
* Recommend at least two process improvements or creative ideas for marketing or administration.
* Establish a reliable workflow and communication rhythm with the internal team.
Performance will be assessed based on timely task completion, attention to detail, proactive communication, creativity, and the ability to work independently while supporting team goals.
