Key Responsibilities
Administration & Compliance
Maintain accurate digital records of tenants, properties, and staff.
Ensure all onboarding documentation for tenants and staff is up-to-date and compliant.
Keep track of property-related compliance (e.g., EPCs, gas safety certs etc.).
Support audit preparation and maintain audit-readiness documentation.
Draft and issue tenancy agreements, warning letters, and notices.
Finance & Remittance Tracking
Monitor rent collection, chase arrears, and reconcile payment reports.
Manage remittance schedules from local authorities and track incoming payments.
Maintain detailed financial records per property to assess profitability.
Work closely with the accounts team to ensure invoices and expenses are recorded.
Support with preparing monthly financial performance reports.
???? Property & Maintenance Coordination
Manage the maintenance log for all properties and escalate urgent issues.
Liaise with contractors and maintenance teams to arrange timely repairs.
Track completion of maintenance works and update records.
Maintain an asset register for furniture, white goods, and fittings.
Ensure regular property inspections and compliance visits are logged and filed.
Operations & Performance Monitoring
Create and maintain a live dashboard showing the status of all units (vacant, occupied, pending repairs).
Track the occupancy rate, void periods, and property performance metrics.
Highlight underperforming properties and recommend action plans to improve margins.
Support move-ins and move-outs remotely by coordinating tasks and preparing welcome packs.
Team & Communication Management
Act as a central point of contact for the field team and escalate issues to the relevant manager.
Set up task reminders, follow-ups, and ensure deadlines are met across departments.
Prepare weekly operations summaries for leadership.
Handle ad-hoc administrative requests and provide support for business growth initiatives.
