Description: The role of a scheduling and QA coordinator, is to perform operations and workflow for scheduling and staffing sessions for the implementation of services with clients. The scheduler is responsible for effective case scheduling and related staff/client communication, performing and collecting QA data, and for completing various administrative and operational duties to support scheduling and QA. Experience with scheduling patients and organizing staff schedules is necessary and knowledge in systems such as
Key Responsibilities:
• Coordinate and schedule ABA therapy and other service line sessions efficiently and accurately.
• Communicate effectively with therapists, clients, and their families.
• Maintain strict attention to detail and follow established procedures.
• Handle multiple tasks simultaneously while remaining organized and calm.
• Demonstrate kindness, courtesy, and patience in all interactions, even in challenging situations.
• Monitor incoming clients during the assessment process to proactively identify schedules
• Communicate scheduling information and confirm the initial start date for therapy with the family
• Partner and collaborate with the on boarding, registration, training, and care coordination departments.
• Uses EMR (electronic medical record) system to match therapist availability with client availability and enter scheduled
appointments
• Verify that authorizations for ongoing services are in place and attached to appointments prior to starting sessions
• Optimize staff schedules to allow for targeted productivity of employees
• Drive to achieve full authorized prescription fulfillment for each client and clinician availability
• Responsible for entering data into various electronic systems
• Work with families and direct care staff to identify upcoming client schedule changes and update client and staff schedules to support necessary changes as applicable
