JOB OVERVIEW

We are looking for a Virtual Assistant / Office Manager to join our team, helping streamline business processes, manage communications, and optimise our client experience.

Responsibilities:
CRM Management:

Set up, manage, and optimise our CRM for maximum efficiency.

Track client interactions, deadlines, and follow-ups.

Ensure all client information is up-to-date and accurate.

Task & Deadline Management:

Oversee project timelines, monitor deadlines, and allocate tasks.

Support tea ---------- mbers with reminders and follow-ups on critical tasks.

Communication Management:

Manage WhatsApp and email communications with clients and tea ---------- mbers.

Organise and prioritise messages for efficient response handling.

Draft and send professional emails as needed.

Office Administration:

Maintain digital filing systems and document organisation.

Assist in scheduling meetings, managing calendars, and coordinating with stakeholders.

Process Optimisation:

Identify areas for process improvement and automation.

Work alongside the team to implement new systems and tools for efficiency.

Basic Bookkeeping (Desirable):

Light bookkeeping tasks including invoice management and basic reconciliations.

Liaising with outsourced bookkeepers/Accountants when required.

Qualifications:
Proven experience as a Virtual Assistant or Office Manager.

Excellent organisational and time-management skills.

Strong written and verbal communication skills in English.

Proficiency in CRM software.

Familiarity with WhatsApp, Outlook and task management tools

Tech-savvy with the ability to pick up new software quickly.

Desirable: Experience with bookkeeping or accounting software (Xero)

Skills:
Highly organised and detail-oriented.

Problem-solving mindset and proactive approach.

Ability to multitask and prioritise effectively.

Strong interpersonal skills and a positive attitude.

Willingness to learn and grow with the business.
