JOB OVERVIEW

US based position. The Remote Property Manager will oversee the day-to-day operations of our 10 residential rental properties from a home office. You’ll be the primary point of contact for tenants, handling communications and resolving issues in a timely, professional manner. Key duties include coordinating maintenance, processing lease applications for new renters, collecting rent through our online system, and onboarding new tenants. Uniquely, this role also involves documenting company processes and policies – with the Landlord’s help you will organize Standard Operating Procedures (SOPs), templates for common tenant questions, and other documentation to train our AI Agents on how to handle routine tasks. In essence, you’ll combine traditional property management with helping to shape our future AI-assisted workflows. Tech-savvy, organized, and proactive candidates with property management experience will excel in this role. This position requires reliability and self-management.

Key Responsibilities

Tenant Communication: Serve as the day-to-day liaison for tenants. Respond promptly to tenant inquiries, questions, and complaints via email, phone, or chat. Ensure tenants feel heard and issues are addressed with empathy and clarity (e.g. explaining policies or scheduling service)?

Maintenance Coordination: Receive maintenance requests (e.g. a broken appliance or leaky faucet) and coordinate repairs with approved vendors. Schedule and follow up on work orders, making sure repairs are completed satisfactorily. Keep tenants and owners updated on the status of maintenance tickets?

Lease Application Processing: Handle the intake of new lease applications. This includes screening prospective tenants (background and credit checks), verifying references, and communicating with applicants. Ensure the screening process is thorough and complies with fair housing laws.

Rent Collection & Record-Keeping: Oversee rent payments each month using our online payment portal. Monitor payment status, send polite reminders for upcoming or late payments, and issue late notices when necessary. The system has automated features (like AI-driven rent reminders to tenants) to reduce manual work?, but you ensure all rents are collected and recorded. Maintain accurate records of payments and any late fees.

Onboarding New Tenants: Manage the move-in process for approved applicants. Prepare digital lease agreements and guide new tenants through e-signing. Provide new tenants with welcome information (how to use the tenant portal, important contact numbers, property rules, etc.). Coordinate move-in inspections with the Field Assistant and ensure the tenant receives keys/access. Make the new resident feel welcomed and informed about procedures.

Updating Processes & Documentation: Continually improve company processes. Document step-by-step procedures for recurring tasks – for example, how to handle a maintenance request from start to finish, how to conduct a move-out reconciliation, responses to frequently asked questions, etc. Develop internal SOPs and policy documents so that everything is clearly outlined. (Without solid SOPs, operations can “spiral into chaos,” so this documentation is critical.)

AI Training Support: Work closely with our website/AI development team to train our AI agents. Provide the documentation and expertise they need to program the AI. For instance, you might write a canned response for a common tenant question (“What do I do if I’m locked out?”) which the AI can then use to automatically answer tenants in the future. By supplying real-world scenarios and correct procedures, you help the AI learn to automate tasks like rent collection reminders, maintenance request intakes, and answering basic inquiries. You’ll review the AI’s outputs for accuracy and suggest improvements, ensuring the AI workflows align with our company’s standards and lease policies.

Required Skills and Experience

Experience in Residential Property Management: Proven experience managing residential rentals (preferably 2+ years managing a portfolio of properties)?. You should be familiar with the rental lifecycle (leasing, maintenance, rent collection, tenant relations).

Strong Communication & People Skills: Excellent written and verbal communication skills are a must. You’ll need to communicate clearly with tenants (who may be stressed or confused) while remaining patient and friendly. At the same time, be assertive and professional when enforcing lease terms (for example, addressing late payments or noise complaints)?. Being “people-oriented” and able to solve problems without getting flustered is key in property management?.

Tech-Savvy and Comfortable with Software: Must be comfortable with technology and quick to learn new tools?. Our operations use a variety of cloud-based apps. Experience with property management software like Buildium or AppFolio is highly preferred – these platforms streamline rent tracking, tenant communication, and maintenance scheduling?. (If you haven’t used ours, you should be confident in your ability to learn it.) Expertise with Google Workspace (Gmail, Drive, Docs, Sheets) for day-to-day work is required. We also use Slack or similar for team communication. Basic knowledge of WordPress (for updating the website or viewing tenant requests from the site) is a plus, though not strictly required.

Organized & Proactive Work Style: This role requires self-management. Since you’re remote, you must be highly organized in tracking tasks and deadlines. Ability to prioritize work, keep digital files in order, and follow recurring schedules (rent due dates, inspection dates, etc.) without constant oversight. A proactive mindset to foresee issues (e.g. noticing a lease is up for renewal soon and prompting action) will set you apart.

Documentation and Process Improvement Skills: You should have strong writing skills to create clear SOPs and guides. Experience in writing manuals, how-to guides, or workflow documentation is a big advantage. An eye for detail is needed to document processes accurately. Essentially, you’ll be translating your on-the-job knowledge into written instructions that others (including AI systems) can follow, so clarity is crucial.

Knowledge of Regulations: General understanding of landlord-tenant laws and rental regulations in our area (e.g. fair housing laws, security deposit rules, notice periods for entry or eviction) is required to ensure our processes and AI responses remain compliant. (You don’t need to be a lawyer, but you should know the basics of what can/can’t be done in tenant communications and leases.)

Problem-Solving and Judgement: Ability to make decisions or escalate issues appropriately. For example, knowing when to handle a situation yourself versus when to involve the property owner or a legal professional. Since AI will handle routine questions, you’ll often deal with non-routine issues – creativity and sound judgement in finding solutions is important.

Education: A high school diploma is required. Additional education or certifications in property management (such as a Certified Property Manager license) are nice-to-have but not required. Real-world experience and skill matter more for this part-time role.
