JOB OVERVIEW

Job Title: Capacity Operations Coordinator
Location: Remote, Philippines

About the Role: The Capacity Operations (CapOps) Coordinator plays a critical role in managing provider staffing operations, ensuring seamless communication, staffing accuracy, and process improvements. This position partners cross-functionally with Clinical, Customer Support (CS), Revenue, and Compliance teams to drive operational excellence.

Key Responsibilities:

Email
Inbox Management
Manage the staffing email queue, responding to provider inquiries.
Utilize and improve standard macros for provider communications.
Track provider updates using Salesforce and Airtable.
Escalate complex cases and collaborate with cross-functional teams to resolve provider issues.
Proactively identify workflow inefficiencies and recommend solutions.


Provider Outreach
Draft and send staffing offers to providers based on assignment details.
Accurately record provider responses and update assignments in Salesforce.
Collaborate with Revenue and Clinical teams to confirm staffing details.
Suggest adjustments to outreach strategies based on emerging patterns.
Develop strong relationships with providers, including live communication when needed.


Ad-hoc Projects
Complete quality assurance (QA) checks and data-entry tasks.
Analyze simple data trends to support operational improvements.
Contribute to team initiatives by performing initial analysis of QA findings.


Process Improvements
Identify and document workflow inefficiencies.
Provide input on team process discussions and suggest optimizations.
Recommend process changes to minimize workload and increase operational efficiency.


Qualifications:
1–3 years of experience in operations, project coordination, customer support, or a related field.
Familiarity with Salesforce, Airtable, or similar CRM and database tools.
Strong written and verbal communication skills.
Ability to analyze trends and suggest improvements.
Highly organized with exceptional attention to detail.
Comfortable working cross-functionally and escalating issues when needed.


Preferred Skills:
Experience with Zendesk or other ticket management systems.
Previous work in healthcare operations or staffing coordination.
Ability to identify and implement process enhancements.
Strong problem-solving mindset and proactive follow-up skills.
