Mortgage Office Assistant
The mortgage office assistant will be responsible for assisting the Broker in the day to day running of the brokerage. Creating Application, Assisting Agents and Clients etc.
Role Specific Accountabilities include, but are not limited to the following:
· Reviewing mortgage documentation for completeness and compliance with established credit policies.
· Verifying/validating all required mortgage/client information.
· Providing timely and accurate responses to brokers.
· Conduct client interviews.
· Negotiate with key stakeholders while adhering to credit policies
· Identify escalation items and work in conjunction with the underwriter to resolve them.
· Creating and Submitting Applications on Filogix
· Collecting and Reviewing Client Mortgage documents such as Mortgage Statements, T4, T1, NOA, Property tax bill and insurance policy.
· Reviewing Credit Report.
· Maintaining CRM software.
· Communicating with A, B and C lenders to provide requested documents.
· Informing Clients about Mortgage Offers.
· Identify escalation items and work in conjunction with the underwriter to resolve them
· Maintain a daily/weekly calendar for the Principal broker
· Order appraisal for client as per broker directions
· Conducting bi-weekly follow up calls with the agents to support their productivity
· Collect monthly compliance sheets from the agents and keep a record to help broker process the payment
· Conducting monthly lender’s presentation for agents by contacting industry leading lenders
· Maintain and keep track of daily office mails and cheques received
· Providing timely and accurate responses to brokers.
· Calling real estate agent to maintain good relationship with them
· Keep track of monthly Equifax account payments & other utility bills
Requirements:
Expertise with A, B and Private Lenders
Excellent communication skills - both written and verbal
Excellent judgment / must be able to make independent decisions
Ability to work independently as well as part of a team
Excellent organizational and time management skills
Detail oriented
Works well under pressure.
Proficient in the use of Filogix, velocity or other mortgage origination tools
Advanced skills in MS Office Suite (Word, Excel, PowerPoint, Outlook);
Familiarity with mortgage process documents, i.e. Mortgage Statements, Purchase & Sale Agreement, T4A, T1, NOAs, Tax Bill, and Insurance Policy document
Educational /Technical Experience:
· 1+ years of experience as a Mortgage Officer assistant
· Have previous office/customer service experience.
· Possess solid MS Office/Computer skills
· Alternative mortgage lending experience an asset
