Virtual Assistant – Residential Building Company
Type: Full-time | Hours: Australian business hours

Are you a detail-oriented, tech-savvy Virtual Assistant looking for a long-term opportunity with a growing residential construction company? We’re a small but dynamic team seeking a proactive VA to help us stay organized, efficient, and one step ahead. This hybrid role offers a mix of administration, project support, and business systems coordination.

Key Responsibilities:
• Personal Assistant
• Social media video editing and creation
• Social media marketing
Email management
• Appointment setting
• Data entry
• Compile OC documentation from all subcontractors for submission
• Coordinate contract signing with clients and trades
• Book inspections and manage scheduling
• Process invoices and assist with general bookkeeping tasks (e.g., logging sick leave)
• Track job costings using Buildxact
• Review orders (e.g., windows) prior to payment for accuracy
• Collect subcontractor insurances using Hazaco
• Obtain and manage quotes for preliminary agreements and project costings
• Maintain and update project documentation (spec sheets, selection sheets)
• Run clients through the selections process
• Prepare detailed bathroom specifications for plumbers to avoid site meetings
• Create and schedule social media content
• Research materials and products as required
• Place material orders and coordinate delivery timelines
• Assist with business development documents (e.g., “wow” packs, selection docs)
• Support the creation and implementation of business systems
• Maintain organized job documentation (PC items, client selections, etc.)

Who You Are:
• Highly organized and self-motivated
• Strong attention to detail and accuracy
• Confident using cloud-based tools and systems (experience with Buildxact, Hazaco, Xero or similar a plus)
• Able to follow processes but also suggest improvements
• Experience in the construction or building industry preferred but not essential
• Proficient with MS office (EXCEL, word etc.)
• Basic CANVA skills
• Wordpress skills
• Speak very good English
• Detail-oriented and strong communication skills
• Applicant must have a positive attitude towards change
• Able to identify the need, remove the barriers
• Values diversity of ideas, opinions, and people
• Has good common sense and applied logic
