JOB OVERVIEW

We are seeking a proactive and detail-oriented Virtual Assistant to support a busy Property Manager and Real Estate Agent. The ideal candidate will have experience in real estate operations, property management, and customer service. This role involves managing communications, coordinating property tasks, and ensuring smooth transaction and leasing processes.

Key Responsibilities:
Communication Management
Monitor, read, and respond to daily emails professionally and promptly.

Act as the first point of contact for tenants, owners, vendors, and potential buyers/renters.

Handle routine inquiries and escalate important issues to the manager.

Maintenance Coordination
Receive and log maintenance requests from tenants.

Forward requests to appropriate vendors and track completion.

Follow up with tenants and vendors to ensure satisfactory resolution.

Property Onboarding & Listings
Onboard new rental or sale properties from owners.

Collect and organize property documentation and details.

List properties on the MLS and AppFolio (or similar platforms).

Create professional property flyers and marketing materials.

Post listings to relevant rental/sales websites and social media platforms.

Tenant & Buyer Coordination
Coordinate property showings with potential tenants or buyers.

Communicate with prospective renters or buyers about scheduling and follow-up.

Process tenant applications, run background/credit checks, and verify income/employment.

Communicate application results and prepare lease documentation if approved.

Transaction Coordination (Real Estate Sales)
Serve as the transaction coordinator for buyers and sellers.

Manage contract timelines, ensure all documents are signed, and meet deadlines.

Communicate with escrow/title companies, lenders, inspectors, and clients.

Track contingency removals and closing processes.

Administrative Support
Maintain and update property records in AppFolio or CRM.

Assist with lease renewals, rent collection follow-ups, and owner reports.

Support client communications, send reminders, and prepare routine correspondence.

Prepare and send weekly reports to property manager and real estate agent.

Preferred Skills & Experience:
Previous experience in property management or real estate assistance.

Familiarity with AppFolio, MLS systems, Canva or other design tools.

Strong written and verbal communication skills.

Excellent organizational and multitasking abilities.

Tech-savvy and comfortable with Google Workspace, CRMs, and scheduling tools.

Additional Bonus Skills (Not Required but a Plus):
Social media management for property marketing.

Knowledge of real estate compliance and document retention.

Ability to assist with virtual open houses or digital marketing campaigns.
