Primary Responsibilities of Your VA


Email
Outreach + Deal Pipeline Management

Source brand emails from Instagram (via DMs) and LinkedIn using advanced scraping tools or platforms like ---------- or Apollo.

Use Notion, Airtable, or Google Sheets to organize contact info, outreach stage, follow-up dates, and notes.

Blast pre-approved email pitches to 50–100+ brands per day using tools like GMass or Mailshake.

Monitor replies, flag hot leads, and notify you to personalize replies or schedule meetings.

Track open/click rates and optimize subject lines and formats using basic data feedback.

CRM / Pipeline Maintenance

Build and maintain your outreach CRM: who’s been contacted, who responded, who’s pending.

Follow up systematically (day 3, 7, 14).

Send reminders, create calendar holds, and manage negotiations on your behalf (if permitted).

Market Research + Target Lists

Research trending beauty, lifestyle, wellness, or fashion brands launching new products or campaigns.

Use tools like BuzzSumo, InfluencerDB, or LinkedIn Sales Navigator for niche discovery.

Proposal Assistance

Create personalized proposals using Canva or Google Slides for each hot lead.

Assist with formatting custom rate sheets or contracts (via templates you provide).

Keep a proposal “vault” ready to edit and deploy based on opportunity.
