We're seeking for a highly organized and tech-savvy Real Estate Virtual Assistant to provide remote support to our team. The ideal candidate will be a proactive problem-solver with strong communication skills and experience in CRM management, social media management, and transaction management, in addition to traditional administrative tasks. KEY RESPONSIBILITIES:
Transaction Management:
- Prepare and track agreements, addendums from contract to closing
- Coordinate between buyers, sellers, lenders, title companies, and agents
- Maintain transaction checklists and ensure deadlines are met
- Update transaction status in CRM & MLS and provide weekly reports
CRM & Client Management:
- Maintain accurate client records in our real estate CRM
- Manage lead intake and assignment processes
- Schedule and confirm client appointments/showings
- Handle client communication
Marketing & Social Media:
- Create and schedule social media posts
- Assist with
- Maintain property listings on websites
General Administrative Support:
- Manage agent calendars and schedule appointments
- Prepare listing presentations and marketing materials
- Organize digital files and maintain databases
Requirements:
- 2+ years experience in real estate administration or as a virtual assistant
- Proficient in real estate CRMs and transaction management systems
- Strong knowledge of Canadian real estate documents and transaction processes
- Knowledge of MLS systems and Canadian real estate terminology
- Experience with social media management for real estate
- Tech-savvy with Google Workspace, Microsoft Office, and DocuSign
- Excellent communication and time management skills
- Available during EST business hours
Schedule:
8-hour shift, Monday to Friday EST
