We are looking for an outstanding Operations & Marketing Assistant to join our fast-paced, growing digital media company. This is a full-time role for someone who is exceptional at executing, managing systems, and ensuring operational excellence across marketing and backend operations.
You will be responsible for:
Publishing our newsletter 3x per week (sourcing opportunities, drafting, inserting sponsors, reporting)
Researching and executing sponsor outreach to fill ad inventory
Booking, researching and coordinating weekly podcast guests
Clipping podcast interviews for social media using tools like Opus Clip
Scheduling and publishing social media content
Supporting list growth projects (lead magnets, Sparkloop, referral systems)
Managing Trello boards, Airtable databases, and Google Docs systems
Sending a weekly operations report summarizing project statuses
You will thrive in this role if you:
Have outstanding attention to detail and follow-through
Take ownership of tasks and consistently deliver outcomes on time
Have strong English communication skills (both written and verbal)
Are comfortable working independently without needing constant input
Love working behind the scenes to ensure operations and marketing move forward seamlessly
Have experience supporting content businesses such as newsletters, podcasts, and social media brands
Skills We Value:
Experience with Trello, Google Docs, Slack
Strong organizational and communication skills
Ability to manage and execute multiple concurrent projects
Familiarity with newsletter (Beehiiv) is a bonus
Familiarity with podcast editing or clipping tools (Descript, Opus Clip) is a bonus
Experience using AI tools for content management or automation is an advantage
Key Responsibilities (with estimated weekly focus):
Newsletter System Management: 7-10 hours
Sponsor Outreach and CRM Management: 5-7 hours
Podcast Clipping for Social Media: 3-5 hours
List Building and Growth Initiatives: 4-6 hours
Social Media Scheduling and Publishing: 2-3 hours
Podcast Guest Booking and Admin: 2-3 hours
General Operations and Admin: 3-5 hours
Performance KPIs:
3 newsletters sent on time weekly
20–30 sponsor outreach
2+ new podcast guest booked weekly
20+ podcast clips created and published weekly
5–7 social media posts scheduled and posted weekly
1 list-building initiative executed monthly
Weekly reporting update submitted every Friday
