Virtual Assistant – Real Estate Rentals, Short-Term Guest Messaging, and Renovation Project Coordination

Position Type: Part-time to Full-time (flexible based on skills and workload)
Location: Remote (preferably U.S. time zones or must overlap at least 4–6 working hours)

About the Role:

We are a real estate investment company that manages long-term rental properties, short-term vacation rentals, and active renovation (“fix and flip”) projects.
We are seeking a proactive, detail-oriented Virtual Assistant to support daily operations across these areas and help us stay organized, efficient, and responsive.

Key Responsibilities:

Long-Term Rentals
• Respond promptly to prospective tenant inquiries by email, phone, or platfor ---------- ssages.
• Pre-screen tenant applicants using provided scripts (income, employment, background basics).
• Post, update, and manage online rental listings (Zillow, ---------- , Facebook Marketplace, etc.).
• Schedule showings with prospective tenants or agents.
• Track lease renewals, move-in/move-out dates, and send reminders.

Short-Term Vacation Rentals (Airbnb, VRBO)
• Monitor guest messages daily and respond using pre-set templates and customized answers.
• Manage check-in/check-out communications and resolve basic guest issues.
• Coordinate cleaning schedules and minor maintenance as needed.
• Request guest reviews and manage post-stay follow-ups.

Renovation Project Coordination
• Maintain project timelines and task lists for active renovation projects.
• Communicate with contractors and vendors to request updates, quotes, or scheduling.
• Order building materials online (Home Depot, Floor & Decor, Amazon) when instructed.
• Track expenses and organize receipts and invoices.
• Schedule inspections or permit-related appointments.

Skills & Experience Needed:
• Excellent written and verbal communication skills.
• Experience in real estate, property management, Airbnb/STR management, or construction coordination preferred.
• Highly organized, self-motivated, and able to prioritize tasks independently.
• Familiarity with project management tools (Google Sheets, Trello, ---------- , or similar).
• Basic tech skills (Google Drive, Dropbox, email/calendar management).
• Customer service mindset — polite, professional, solutions-focused.
• Attention to detail — ability to track multiple projects and follow up consistently.

FlipperForce, Ramp
• Airbnb, VRBO
• Zillow Rental Manager, Facebook Marketplace
• QuickBooks (basic receipt upload — no bookkeeping required)
• Text, phone, and email communication

(Training provided for specific systems.)

Hours and Pay:
• 20–30 hours per week to start, with the potential to grow into a full-time position.
• Must be available to check and respond to STR guest messages at least twice daily (morning and evening).
• Pay: based on experience
• Paid biweekly.
