JOB OVERVIEW

For Office Manager:
• Update every active project daily in Leap CRM with client notes, inspection updates, and job status.
• Organize every document (contracts, change orders, permits, lien releases, invoices) into job-specific folders in Google Drive.
• Ensure every client question (email, call, or text) is answered within 1 business day maximum.
• Create weekly project status reports for Owner review (quick summary of each project).
• Schedule all city inspections, client walk-throughs, and material deliveries proactively.
• Prepare project close-out folders when projects are finishing (COs, warranties, final invoices, lien releases).
• Assist Estimator and Production Manager by preparing job start packages (permits, plans, insurance certs).
• Track license renewals, insurance certificates, bonds, and keep them current.
• Monitor Leap CRM pipeline and notify sales team of leads that need follow-up.
• Handle basic HR paperwork for any new hires or subcontractors (contracts, W9s, insurance).
