Virtual IT & Project Development Assistant
Position Type: Virtual Contractor | Part-Time or Full-Time
Position Summary:
Chateau Health & Wellness seeks a Virtual IT & Project Development Assistant to enhance and streamline operational workflows, assist with technical projects, and audit digital systems, including electronic medical record (EMR) platforms. This role directly supports the Director of Technical Services and plays a critical role in ongoing system improvements, project tracking, application development, and operational documentation.
The ideal candidate is a self-motivated problem solver with a strong understanding of healthcare technology systems, project development processes, and emerging AI tools to enhance operational efficiency.
Core Responsibilities:
IT & Workflow Operations
*Assist in managing and maintaining EMR systems (primarily KIPU) and CRM systems.
*Perform scheduled audits of electronic workflows to ensure compliance, functionality, and efficiency.
*Support app development initiatives, including front-end/back-end coordination, basic coding assistance, and user experience testing.
*Assist with technical troubleshooting and coordinate with vendors for software or hardware upgrades and solutions.
Maintain and update operational guides, standard operating procedures (SOPs), and digital system records.
Project Management Support
*Help organize and maintain project management tools for technical and operational initiatives.
*Track project progress, task deadlines, deliverables, and status across multiple departments.
*Draft and maintain project timelines, resource allocation checklists, and team assignment records.
*Attend project meetings with the Director of Technical Services to provide status updates, surface obstacles, and ensure alignment.
Data Collection & Reporting
*Build operational reports based on EMR, CRM, and IT system activities to support leadership decision-making.
*Prepare monthly reports summarizing project developments, system improvements, audit findings, and operational risks.
*Utilize AI tools, where applicable, to streamline data collection and analysis processes.
Ideal Qualifications:
*Experience working with Electronic Medical Record (EMR) systems (KIPU highly preferred).
*Strong working knowledge of Google Workspace (Docs, Sheets, Drive, Calendar) and IT troubleshooting fundamentals.
*Basic understanding of workflow design, system automation, and process mapping.
*Moderate to Advanced coding knowledge (preferred) in languages such as JavaScript, Python, HTML/CSS, or related frameworks.
*Familiarity with AI tools and processes to enhance workflow automation, reporting, or system optimization.
*Highly organized, detail-oriented, and capable of working independently while meeting deadlines.
*Strong understanding of HIPAA, confidentiality, and information security standards.
*Willingness to learn, take feedback, and demonstrate continued proficiency through hands-on job performance.
Reporting Relationship:
*Reports directly to the Director of Technical Services.
*Participates in scheduled project meetings and weekly or biweekly supervision to review tasks, priorities, and performance development.
