About Us:
At Crossgate Realty Media, we help real estate agents stand out by delivering high-quality listing photos, videos, and media that make properties shine. As a fast-paced, client-focused media company, we’re looking for a dependable and friendly Receptionist & Client Coordinator to be the first point of contact for our clients and to keep the scheduling and communication process running smoothly.


What You’ll Be Doing:
Answering Phones & Greeting Clients: Be the friendly voice and face of Crossgate Realty Media by handling incoming calls and messages.


Scheduling Orders: Work closely with agents to book media appointments, ensuring accurate timing and availability.


Customer Communication: Respond to client inquiries via phone, email, and text. Keep communication clear, timely, and professional.


Appointment Reminders & Follow-Ups: Send appointment confirmations, reminders, and follow-up messages to ensure a seamless client experience.


Coordination Between Agents & Photographers: Act as a bridge to ensure both parties are aligned on timing, location, and special requests.


Coordination Between Agents & Delivery Specialist: Communicate between agents and delivery specialist when same-day requests are made or orders are taking longer than expected to deliver.


Weather Monitoring & Rescheduling: Track weather conditions and proactively coordinate with agents and photographers to reschedule as needed on bad weather days.


Builder Invoices: Manage invoicing and billing communications for builder clients to ensure timely and accurate payments.



Who You Are:
You speak PERFECT English. ANYONE can clearly understand you over the phone and/or Zoom call.


You have PERFECT English reading and writing skills. No misspelled words when communicating with clients and/or tea ---------- mbers.


You have excellent communication and organizational skills


You’re friendly, detail-oriented, and comfortable juggling multiple tasks


You’re tech-savvy and quick to learn new systems (bonus if you’ve worked with CRMs or scheduling platforms)


You’re calm under pressure and great at problem-solving on the fly


Experience in real estate or media/photography coordination is a plus, but not required
