You are highly organized, proactive, and take complete ownership of your role. You have at least 2 years of experience supporting U.S.-based real estate agent, ideally in buyer coordination, and you pride yourself on delivering exceptional service and accurate, timely support. or 2+ years of experience in a management position in a U.S based customer call center.
You are resourceful, take initiative, and know how to manage multiple priorities without dropping the ball. Your communication skills—especially written—are excellent, and you’re confident handling clients and coordinating with agents. You value speed and urgency, but never sacrifice accuracy or client experience. If you are willing to work hard and learn, we will train the right candidate.
YOUR ROLE & RESPONSIBILITIES
Client Communication & Lead Management:
Monitor Zillow,
Respond promptly to inquiries and introduce buyers to the preferred lender
Send follow-up
Maintain detailed communication logs in Follow Up Boss (CRM)
Schedule and manage consultations, showings, inspections, and appraisals
Send calendar invites, confirm appointments, and prevent scheduling conflicts
Optimize showing routes and secure access info (lockboxes, gate codes, etc.)
Create and manage Google Drive folders for each buyer
Build and send Highnote presentations with tour and vendor info
Set up RealScout searches and track buyer preferences
Coordinate transaction handoff to the Transaction Coordinator
REQUIREMENTS
2+ years experience as a VA (real estate experience preferred)
Excellent written and spoken English communication
Strong organizational skills and attention to detail
Reliable, fast internet with backup, prefer a candidate close to Manila or other metropolitan area to ensure fast reliable internet and less weather interruptions.
Laptop or desktop with camera, noise-canceling headset, and smartphone
Tech-savvy and confident using or learning
Google Workspace (Docs, Sheets, Drive, Calendar)
