Real Estate Admin - Virtual Assistant

Our dynamic and successful real estate team in Vancouver, Canada, is seeking a dedicated and skilled Virtual Assistant to provide crucial support across our transaction coordination, marketing, and administrative operations. This is an exciting opportunity to become an integral part of our team and grow with us.

Requirements:
Must have at least 1 year experience being a VA or have worked in a BPO with Transaction Coordination or a similar field, worked with a Canadian client is a plus!

Key Responsibilities:
As our Virtual Assistant, you will play a vital role in ensuring the smooth and efficient operation of our business. Your responsibilities will include:
Transaction Coordination & Admin Support:
Managing all real estate transactions from contract to close, meticulously tracking timelines and ensuring all necessary documentation is complete and accurate.
Serving as a key point of contact, communicating professionally and effectively with agents, clients, lawyers, and various service providers to facilitate a seamless sales process.
Efficiently uploading, organizing, and maintaining crucial transaction documents such as offer contracts, deal sheets, and listing agreements within platforms like Skyslope and Google Drive.
Proactively scheduling property showings, organizing the installation of listing signs, and coordinating essential service appointments with sellers and agents.
Diligently tracking critical contract dates, including deposit schedules, subject removal deadlines, and completion dates, utilizing shared calendars to ensure timely action.
Monitoring internal team communication to ensure alignment and follow-through on daily agent tasks.
Preparing and distributing clear and concise client updates and comprehensive transaction summaries.
Database & CRM Management:
Organizing and meticulously maintaining our lead databases within Follow Up Boss (or similar CRM systems).
Accurately assigning leads to the appropriate agents, strategically applying smart filters and automation plans, and consistently updating lead status and activity details.
Setting up automated listing alerts, insightful market reports, and personalized birthday/anniversary reminders to foster long-term client relationships.
Efficiently and accurately inputting leads manually from various external sources and routing them to the correct team members.

Qualifications:
Proven experience as a Virtual Assistant, preferably within the real estate industry.
Exceptional organizational and time-management skills with a strong ability to prioritize tasks and meet deadlines.
Meticulous attention to detail and a commitment to accuracy.
Proactive and resourceful with a strong ability to anticipate needs and solve problems independently.
Excellent written and verbal communication skills in English.
Proficiency in using cloud-based platforms such as Google Drive and familiarity with CRM systems (experience with Follow Up Boss or Skyslope is a plus).
Reliable high-speed internet connection and a dedicated workspace.
Ability to maintain confidentiality and handle sensitive information with discretion.
A positive attitude, strong work ethic, and a willingness to learn and adapt.
