JOB OVERVIEW

Virtual Assistant – Business Operations & Systems Support

Part-Time | Flexible | Weekend Support Preferred

We’re a growing personal development company looking for someone who thrives on structure, loves simplifying chaos, and
can keep things moving without overcomplicating it.

This isn’t just another VA role.

We’re looking for someone who can see how all the pieces of a business connect — and help streamline the backend so everything flows more smoothly. You’ll work directly with the founder to turn ideas into action, support ongoing content workflows, and help keep systems clean and organized as we grow.

What You’ll Be Doing
Creating and improving simple systems and workflows (Airtable, Google Drive, etc.)
Organizing content (videos, emails, captions) from idea to published
Documenting processes and building light SOPs so we can rinse and repeat
Keeping digital files and folders clean, labeled, and easy to find
Providing light community support on weekends or when the team is offline
Helping with admin tasks like data entry, content tagging, and backend updates
Acting as a second brain to help the founder get ideas out and into motion

You’re a Great Fit If You…
Are naturally organized and detail-oriented
Don’t need to be micromanaged — you take initiative and figure things out
Can take a voice note or messy Google Doc and turn it into a clear process
Have experience using Google Workspace, Airtable, Notion, or similar tools
Understand how content, community, and backend systems all fit together
Can balance simplicity with structure — not everything needs 12 steps

Details
Part-time (5–10 hours/week to start)
Flexible hours, but must be available for some weekend support
Remote position
Room to grow with the business over time
Hourly rate based on experience

This role is all about helping the founder stay in her zone of genius — creating impactful content, leading the community, and focusing on what matters most.
But right now, little things pull her off track — fro ---------- ssy systems and scattered files to chasing down steps or updates.
We want to see how you’d step in and bring clarity, structure, and support — without adding more complication.
Choose one of the following tasks (or do both, if you'd like):

Option 1: Protect the CEO’s Energy
If you were joining the team this week, what would you set up (or clean up) to help the founder stay in her flow and stop getting pulled into the weeds?

You can outline:
What kind of system, tool, or process you’d suggest
How you’d help track updates without needing reminders
Anything you’d do to make the day-to-day smoother and more focused

No need to overdo it — a short explanation, Google Doc, or Loom is perfect.

Option 2: Simplify the Weekly Content Flow
Each week, the founder drops video ideas, captions, and emails into a Google Doc. Some are ready, some need edits, and others still need to be turned into full content.
Your task:
Show how you’d build a simple system to move content from idea ? video ? caption ? email ? published — without losing things or creating extra work.
Keep it clear, light, and actionable

Send a message with the subject line: “Ops Support Specialist”
In your message, include:
A short intro about who you are and your experience with systems and operations
Why this role feels like a fit for you
Your availability and hourly rate
Your completed task (Google Doc, Loom, or written summary — whichever format works for you)

Looking forward to hearing from you!
