Executive Virtual Assistant

I’m a busy entrepreneur running several businesses in real estate, construction, and home improvement in Ontario, Canada. I’m looking for a dedicated, full-time Executive Virtual Assistant to join me long-term and help organize, streamline, and support the backend of my companies.

This is NOT a side gig. I’m looking for someone who is committed, flexible, and able to grow into a leadership role over time.

Responsibilities:
Set up and manage user access across software platforms (Google Workspace, CallRail, QuickBooks, etc.)
Organize Google Drive files and systems for multiple businesses
Build and maintain a stakeholder contact list
Manage invoicing using QuickBooks for our construction company
Create and improve branded Canva designs
Review our digital presence (websites, social, Google listings, etc.) and suggest improvements
Start creating SOPs using AI tools + Loom
Eventually hire and manage other VAs to handle creative or routine tasks

Podio CRM
QuickBooks Online
CallRail
Canva
WhatsApp

Requirements:
Excellent written and spoken English
Full-time availability (no other jobs)
Must overlap with EST (Eastern Standard Time) and be available for urgent tasks
High attention to detail and organizational skills
Strong initiative — ability to identify problems and solve them without waiting
